David A. Nigrelli, PLLC is an established Valhalla, NY practice focused on real estate and banking matters, including residential and commercial transactions, condominiums, and co-ops, serving clients across Westchester and surrounding areas.

We’re hiring an onsite Paralegal to be the in-office anchor who keeps transactions organized, responsive, and moving. You’ll help coordinate many moving parts-documents, schedules, and communications-so clients, agents, lenders, title partners, and counterparties experience a smooth, professional process from intake to post-closing.



What you’ll do:

Closing Docs & Recordings

    • Prepare/assemble closing packages; draft routine letters, payoff requests, escrow instructions, and standard form docs; proof for accuracy.
    • Coordinate execution, notarization, and post-closing recordings/e-recordings with county/agency as applicable.

Calendaring, Scheduling & File Admin

    • Own critical dates (closing, contingencies, mortgage commitments, inspections).
    • Schedule closings, client meetings, and appearances; manage attorney calendars.
    • Maintain complete, audit-ready files and representation documents; track tasks in Clio/Filevine or similar.

Banking & Escrow Control

    • Arrange certified checks; verify wire instructions; track incoming/outgoing wires.
    • Reconcile disbursements; maintain escrow logs; route for signature; keep clear audit trails.

Client, Counterparty & Vendor Coordination

    • Communicate professionally with clients, real estate agents, title companies/closers, lenders, opposing counsel/paralegals, bookkeeper, and accountant.
    • Provide updates, manage logistics, and keep momentum on each file.
    • Offer front-of-house coverage (phone presence/intake screening) as needed.

Payments & Collections (Real-estate Context)

    • Track balances/settlement amounts; follow up on outstanding items; document receipts; align with office policies.

Office Operations & Process Improvement

    • Be onsite to receive mail/deliveries, accept in-person payments, and coordinate vendors/couriers.
    • Help create light SOPs/checklists to streamline recurring steps as the firm scales.

Future growth

    • Opportunity to mentor future hires and grow into senior/lead paralegal or add operations/office-manager responsibilities.

 

 

What we’re looking for: 

  • Experience & Background: 2-5+ years as a real estate paralegal in a small-to-mid firm; comfortable blending paralegal and office-ops duties. Reliable onsite presence; valid driver’s license for local bank/closing runs.
  • Drafting & Written Work: Produces clean, filing-ready packets, letters, and routine forms with minimal revision; formats to local practice expectations to reduce attorney edit time.
  • Discovery/File Mastery (Transactions): Organizes files like an auditor-checklists complete, payoffs and clearances tracked, notes legible, and matter status always knowable at a glance.
  • Calendaring & Procedure: Owns deadlines and calendars end-to-end; coordinates multi-location closings; comfortable with post-closing recordings and related filings.
  • Payments & Office Operations: Diligent with numbers; tracks balances and escrow activity accurately; maintains a professional front-of-house and handles in-person payments as needed.
  • Communication, Initiative & Reliability: Proactive, self-directed, and responsive; communicates crisply with attorneys, clients, counterparties, courts/agencies, and vendors. Bonus: confident phone presence for intake/screening. 
    • Spanish Bilingual strongly preferred.
  • Tools & Technical Proficiency: Proficient with Clio, Filevine, or comparable case-management tools; calendaring systems; MS Office/Google Workspace; phone systems; and scanners/printers. QuickBooks/basic accounting familiarity is a plus (trainable).
