As an Intake Specialist, you become the architect of a first impression that sets the tone for the entire case. Your work ensures every inquiry is captured, qualified, and transitioned seamlessly to our legal team, so no potential client falls through the cracks.
What you’ll do:
- Client Intake & Triage: Conduct compassionate and structured intake interviews by phone, gathering complete details such as employer information, pay structure, hours, and duties to assess potential wage-and-hour claims involving minimum wage, overtime, tipped wages, and misclassification.
- Issue-Spotting & Qualification: Translate client narratives into potential legal issues, identifying concerns such as improperly paid side-work, off-the-clock tasks, day-rate or overtime schemes, and improper wage deductions.
- Live Documentation: Actively listen, control the pace of the conversation when needed, and type with speed and accuracy in Clio Grow, creating complete and reliable records on the first pass.
- Conversion & Onboarding: Clearly explain the firm’s value and intake process, send and track retainer agreements, and collect key documents such as pay stubs, schedules, and policies to enable rapid attorney review.
- Seamless Handoffs: Prepare concise case summaries for case development investigators and attorneys, ensuring every qualified lead transitions swiftly to evaluation without delays or bottlenecks.
- Follow-Through: Manage callbacks, reminders, and outstanding items until closure, maintaining established service-level expectations on response times and documentation completeness.
- Data Hygiene & Reporting: Maintain precise and up-to-date records, tags, and statuses, contributing to intake metrics and supporting weekly pipeline reviews.
- Compliance & Professionalism: Uphold strict professionalism by refraining from offering legal advice, escalating all legal questions to attorneys, and adhering to consent, confidentiality, and privacy requirements in all communications.
What we’re looking for:
- Intake Experience: At least 2+ years conducting legal intakes. Employment law experience is a strong plus.
- Employment Law Knowledge: Familiarity with employment law issues such as minimum wage, overtime, misclassification, and tipped wages is highly advantageous and will accelerate onboarding.
- Bilingual proficiency: Fluent in English and Spanish, with the ability to switch seamlessly between languages during client conversations, serving our diverse South Florida and national client base.
- Technical readiness: Skilled in using Clio Grow or a comparable CRM. Must be a fast and accurate typist, able to capture full details live during client conversations while engaging effectively and professionally. Proficiency with standard office tools is essential.
- Intelligent and disciplined: Detail-oriented, organized, and accountable. Able to prioritize and manage multiple tasks without letting critical information fall through the cracks.
- Processes intakes: Handle administrative tasks related to case management and client communications. Use email, texts, phone or online sources to maintain contact with clients.
- Sound judgment: Demonstrates the ability to politely slow a conversation, ask clarifying questions, and escalate appropriately. Never guesses, assumes or provides legal advice, always deferring such matters to attorneys.
