As our Intake Specialist, you are the first voice potential clients hear. You’ll guide people through a stressful moment in their lives with empathy while gathering accurate facts, and ensuring our legal team has what it needs to act quickly. What You’ll Do
- Be the first point of contact for prospective clients by phone, email, and web inquiries; deliver an excellent experience, every time.
- Conduct detailed intake interviews and triage potential cases, capturing complete and accurate information.
- Own follow through: schedule next steps, set expectations, and keep prospects informed until a decision is made.
- Prepare and track retainers via Adobe e signature in line with firm SLAs (e.g., timely follow ups to secure signatures).
- Work inside our systems (e.g., Clio Grow) to document every touchpoint and maintain clean, audit ready records.
- Collaborate cross functionally with Client Relations and Investigations to ensure seamless handoffs to attorneys once a client signs.
- Handle volume with poise—meet response time and quality targets in a fast moving environment.
What You’ll Bring
- Experience in a law firm (intake, client services, legal assistant or similar).
- Empathetic, clear communicator who can also take control of conversations when needed.
- Fast and accurate typing, strong organization, and excellent attention to detail.
- Tech comfortable: case/intake software (Clio Manage/Clio Grow preferred), Outlook, and e signature tools.
- Reliable and career minded—you take pride in results and follow through.
- Bilingual (English/Spanish) is a big plus, not required.
Schedule & Classification
- Standard hours: Monday–Friday, 8:30 a.m.–5:00 p.m., with up to a one hour unpaid meal break.
- FLSA: Non exempt (eligible for overtime at 1.5x for hours over 40 in a workweek, with prior approval).
