We handle a broad spectrum of matters from DUIs and misdemeanors to complex felony and sex-crime defenses bringing extensive courtroom experience. As we scale, we’ve identified a critical need: a hands-on, strategic, and emotionally intelligent Operations Manager who can own the day-to-day execution that supports our big-picture vision. This role is a linchpin between leadership and the team—bringing order to chaos, building sustainable systems, and serving as a protective barrier so our attorneys can focus on what they do best: practicing law.
Frye Law Group is seeking an experienced Operations Manager to join the executive team and drive operational excellence. This high-impact role will partner directly with the firm’s Managing Partner to build SOPs, establish meaningful KPIs, extract and normalize data, and implement scalable systems that make the firm more profitable, automated, and client-centric. The role requires a data-driven mindset, strong executive presence, and the ability to work autonomously while coordinating our teams.
What you’ll do:
Team & People Management
- Support and coach in decision-making, delegation, and team communication.
- Lead internal team meetings to promote alignment, track progress, and reinforce firm goals.
- Track PTO/sick leave, maintain personnel files, and address interpersonal or performance issues with discretion and empathy.
- Monitor team dynamics and morale, resolving interpersonal issues proactively.
- Run weekly check-ins with paralegals/admins; implement and track KPIs; support a healthy, collaborative office environment.
Operational Strategy & SOPs
- Design, document, and roll out firm-wide standard operating procedures (intake → case setup → case progression → file closing).
- Extract, clean, and consolidate data from case-management and intake systems to produce weekly/monthly dashboards (lead source, intake volume, case closures, revenue per office, review tracking).
- Build 30-60-90 day plans for all new hires; develop training content such as manuals, welcome videos, and continuity playbooks.
- Define KPIs aligned to the firm’s priorities to be profitable, automated, and client-centric while holding our team accountable to those targets.
- Lead projects to increase automation, reduce manual work, and elevate client experience (forms automation, handoff checklists, escalation protocols).
- Maintain high follow-through to ensure procedural updates are adopted and adhered to.
Vendor & Systems Management
- Oversee daily operations and manage relationships with key vendors (IT, phone systems, office equipment, vendors) and own improvements in the tech stack and integrations (Apple/Mac experience preferred).
- Manage invoicing, accounts receivable, and reconciliation of trust accounts; with accountant and ensure accuracy across MyCase and Lawmatics.
- Collaborate with vendors to maintain operational support, contract alignment, and performance standards.
- Negotiate and oversee service agreements to ensure optimal value and delivery.
Owner Support:
- When needed, serve as the firm’s operational representative for high-touch client issues - investigate concerns, coordinate with attorneys and staff to identify root causes, communicate status and remediation plans to clients, and convert lessons learned into process improvements to prevent recurrence.
- Serve as a protective buffer to the owner by handling day-to-day staff needs, problem-solving operational issues, and minimizing distractions.
What we’re looking for:
Legal Operations Experience: 3–5 years in a law firm or service-based operations role, with direct experience managing invoicing, and administrative workflows.
- Systems & KPI Implementation: Demonstrated ability to create SOPs, build dashboards, and track performance metrics that drive accountability and growth.
- People Leadership: You have a strong presence and can hold people accountable without drama. You know how to build trust and keep teams on track.
- HR & Compliance Knowledge: Familiar with hiring practices, personnel policies, PTO tracking, and employment law basics in a small business context.
- Data & Systems Fluency: Strong ability to pull and manipulate data (from Lawmatics, MyCase or CMS/CRM), use Mac/Apple computers, Office 365 electronic filing, and turn metrics into action. You don’t just ask for data - you get it and interpret it.
- Communication & Discretion: Strong written and verbal communication skills. Clear, calm, and assertive. Being bilingual in Spanish is a bonus.

- Adaptability: Flexible in a fast-changing, rapidly scaling environment where priorities shift and systems are still evolving.
