At Gerber & Holder, the Paralegal role is central to delivering timely, accurate, and compassionate case support. You’ll be the organized engine behind attorney strategy, coordinating discovery, medical appointments, and client communications, while ensuring Spanish-speaking clients receive seamless, informed service. You’ll also handle targeted executive-assistant tasks that keep an attorney’s day disciplined and on-track, so legal teams can focus on advocacy while clients experience clarity and momentum in their cases.
What you’ll do:
- Spanish-Speaking Client Liaison: Serve as the primary point of contact for Spanish-speaking clients, handle inbound calls, participate in new case discussions, review engagement paperwork, and set clear expectations throughout the case.
- Case Coordination and Discovery: Manage case calendars and deadlines, request and track medical records and bills, draft discovery responses, prepare deposition and appointment notices, organize exhibits, and assemble files for hearings and mediations.
- Medical and Appointment Logistics: Coordinate provider visits, diagnostic testing, and follow-ups, confirm attendance, track work status notes and restrictions, and maintain treatment timelines and expense records.
- Attorney Support: Oversee calendars, appointments, travel arrangements, reminders, and other personal or professional tasks that help attorneys remain focused and efficient.
- Intake Support: Partner with attorneys and reception staff to improve new client sign-up conversions, ensure contracts and disclosures are completed accurately, and maintain proper documentation of new matters.
- Client Updates and Expectations: Proactively provide clients with status updates, explain workers’ compensation procedures in clear terms, and guide them through each stage of the case with professionalism and empathy.
- File Hygiene and Project Management: Maintain organized and accurate digital files, track critical deadlines, log benefit changes and authorizations, and escalate potential issues promptly.
- Cross-Team Support: Collaborate with reception and other paralegals, assist with phone coverage when needed, and provide additional support during periods of high caseload.
- Efficiency and Accountability: Contribute to goals around timely case progression, reduction of bottlenecks, and improved client conversion rates while documenting activities that demonstrate progress toward medical stability and case outcomes.
What we’re looking for:
- Experience and Background: At least 2 years of paralegal experience in Personal Injury or Workers’ Compensation, with Georgia workers’ compensation experience strongly preferred. Certification is beneficial but not required.
- Bilingual Fluency: Proficient in both Spanish and English, with a professional phone presence and strong written communication skills.
- Discovery Skills: Ability to draft and edit documents, organize responses, manage subpoenas and records, and prepare hearing and mediation binders.
- Client Advocacy Mindset: Remains calm under pressure, shows empathy, and explains benefits, timelines, and next steps with clarity.
- Operational Discipline: Strong follow-through, organizational ability, and reliable tracking of deadlines to support fast-paced attorneys.
- Technology Proficiency: Skilled in case management tools, e-filing and Board forms, calendaring, document management, and spreadsheets.
- Cultural Fit: Professional, proactive, and collaborative, with respect for the firm’s direct and high-integrity approach to client service.
- Remote Work: Proven success working in a remote environment while staying engaged, responsive, and accountable to team goals and client needs.
