As a Case Manager, you will be at the center of the client experience, ensuring that every case is handled with care, accuracy, and efficiency. You will serve as the primary point of contact for clients, manage the progress of hundreds of cases, and support attorneys by keeping matters organized, documented, and on schedule. What you’ll do:
- Client Communication and Support: Serve as the primary point of contact for clients, primarily Spanish-speaking, providing consistent updates, guidance, and reassurance throughout their case. Build trust through clear, compassionate communication, address questions independently, and ensure clients feel informed and supported at every stage.
- Case Management: Oversee the lifecycle of 300 or more active client matters, tracking progress, deadlines, and task completion within MyCase to ensure every case advances efficiently.
- Document Organization: Collect, review, and maintain all client evidence, correspondence, and filings in an organized digital system, ensuring records are complete and easily retrievable.
- Record Keeping: Accurately log all client interactions, updates, and case milestones in MyCase to support team visibility and ensure consistent communication.
- Mail and Case Updates: Monitor and process all incoming mail and government case notifications through Lawfully and Serenade eImmigration, ensuring each update is accurately logged, filed, and communicated to clients without delay.
- Task Coordination: Assign and monitor case-related tasks across the team, including attorneys, paralegals, and intake staff, ensuring timely completion.
- Team Collaboration: Participate in weekly meetings with attorneys and other case managers to review progress, escalate issues, and ensure full case coverage.
- Client Correspondence: Prepare professional written communications, including notices, letters, and update emails, using standardized templates. Ensure all correspondence reflects accuracy, empathy, and the firm’s commitment to excellent client service.
- Workflow Optimization: Contribute to improving systems and workflows that enhance client satisfaction and team efficiency.
What we’re looking for:
- Background and Experience: At least 2 years of experience in case management is preferred. Prior exposure to immigration law is a plus but not required.
- Bilingual Fluency: Full professional proficiency in Spanish and English, both spoken and written, with strong communication and writing skills.
- Organizational Excellence: Exceptional attention to detail and the ability to manage a high-volume caseload while maintaining accuracy and composure.
- Technology Proficiency: Comfortable using MyCase, Lawfully, and Serenade eImmigration, as well as Google Workspace, Microsoft Word, and cloud-based systems.
- Proactive Problem Solver: Demonstrates initiative and sound judgment in resolving client issues without constant supervision.
- Empathy and Emotional Intelligence: Compassionate communicator who can handle sensitive client situations calmly and respectfully.
- Adaptability and Learning Mindset: Open to learning firm systems, immigration workflows, and AI-assisted tools that support efficiency and client communication.
- Team Collaboration: Works effectively within a supportive, multicultural team that values cooperation, communication, and mutual accountability.
- Experience: Prior experience in legal, administrative, or client-service roles preferred, especially in immigration or humanitarian law.
- Professionalism: Maintains confidentiality, accuracy, and empathy when handling client information.
