Davis, Esq., our firm specializes in personal injury cases — with a distinct focus on auto, trucking, motorcycle, and commercial vehicle accidents — offering compassionate, strategic, and comprehensive representation to those in need.
Because of the complex, multi-party nature of the cases we handle - often involving multiple defendants, insurance carriers, UM/UIM claims, and high-value damages - we are seeking a Legal Operations Manager who is not limited to administrative work alone. This role is a central hub for the entire firm’s operating system, integrating intake, claims progression, demand production, records routing, staff accountability, and technology systems into one predictable, scalable workflow. From stabilizing the demand pipeline and removing daily blockers (credentials, access, routing), to implementing clear ownership and operating rhythms across the team, the Legal Operations Manager is a direct partner in execution and performance.
This Legal Operations Manager can manage a high-volume, fast-moving practice environment; ensure that the operational engine is airtight; and work in lockstep with Saundra M. Davis, P.C., to position each matter for the strongest possible outcome - by ensuring the internal workflow supports speed, accuracy, and exceptional client delivery. This is not a passive, paper-pushing position. This is a proactive, strategic, and highly involved role for someone who thrives in building order out of chaos and understands that success is built in the details long before settlement or trial.
What You’ll Do:
In this role, you will own the firm’s operational infrastructure - people, process, and systems - ensuring workflows are clear, execution is consistent, and bottlenecks are eliminated. Your responsibilities will include, but are not limited to:
Operations Leadership & Workflow Ownership:
- Oversee the firm’s end-to-end operating rhythm, ensuring workflows across intake, claims, demands, and litigation support are clear, efficient, and executed consistently.
- Establish and enforce operating standards, SLAs, and accountability measures across the team.
- Monitor firm throughput and identify breakdowns before they become emergencies.
Demand Pipeline Reset (Revenue-Critical):
- Conduct a full audit of every pending demand: status, missing inputs, owner, next action, deadline.
- Define and enforce “Demand Ready” criteria so demands are not repeatedly stalled due to missing records, balances, or inputs.
- Establish a repeatable weekly production cadence based on readiness and upstream SLAs.
- Drive the cleanup and stabilization of the demand pipeline to improve cashflow timing and client updates.
Access, Credential, and Security Control:
- Inventory all platforms and access points (email accounts, Filevine, BuyCrash, Stamps/certified mail tools, AI tools, payment tools, etc.).
- Implement credential management and an access matrix that prevents work stoppage.
- Reduce reliance on attorney intervention for routine operational tasks and/or access to these platforms while maintaining appropriate security controls.
- Ensure multi-factor authentication and verification processes do not create unnecessary delays for time-sensitive work.
Records Intake and Routing Redesign:
- Redesign medical records receipt and routing so it does not depend on manual forwarding from one email inbox (or reliant on the attorney’s inbox).
- Build a visible queue, SLAs, and escalation rules for requesting, follow-up, receipt, indexing, and demand readiness.
- Reduce duplicate outreach and preventable follow-up cycles caused by routing choke points.
Filevine and Google Drive Governance (Single Source of Truth):
- Decide what must live in Filevine versus Google Drive, and under what conditions (for example, litigation-only Drive duplication).
- Standardize naming, folder rules, and QC checks.
- Automate or eliminate low-value manual reporting where possible.
- Ensure AI tools and case management tools are integrated intentionally, not creating duplicative systems or wasted admin capacity.
Value Chain Audit and RACI Implementation:
- Map the end-to-end legal and operational workflow from intake to resolution with ownership at each step.
- Produce and enforce a RACI (responsible, accountable, consulted, informed) chart across the attorney and supporting staff (5+ folks).
- Establish operating rhythms: weekly ops huddle, metric review, project plans with owners and due dates, blockers log, and execution cadence.
- Reduce ambiguity, rework, and escalations back to the attorney.
Milestones and Deadline Operating System (Risk Control):
- Implement standardized milestones and reminders for litigation and pre-lit activities within Filevine (or complementary tooling).
- Provide reporting: upcoming deadlines, overdue tasks, stalled matters.
- Reduce missed deadlines risk and improve predictability and client updates.
Tech Stack Audit and Optimization:
- Audit the full tech stack and identify redundancies, gaps, and tools not being used effectively.
- Create a clear system map: what each tool is for, who owns it, how it integrates, and whether it is worth the spend.
- Prevent “tool sprawl” by ensuring future tools integrate cleanly with existing workflows before adoption.
What We’re Looking For:
Education & Certification:
- Bachelor’s degree preferred, but not required (business, operations, legal studies, or related field).
- Relevant certifications a plus (Lean/Six Sigma, project management, operations management), but not required.
Experience:
- Minimum 4+ years of operations leadership experience in a law firm or professional services environment (personal injury strongly preferred).
- Demonstrated experience building and enforcing workflows, accountability systems, and operational SOPs.
- Experience improving throughput in a high-volume environment with multiple competing priorities.Prior experience auditing and rationalizing a tech stack, including resolving integration and routing issues.
Skills & Competencies:
- Strong operational judgment - ability to prioritize what matters most and drive it to completion.
- Exceptional organizational skills, able to prioritize and meet tight deadlines across multiple moving parts.
- Ability to create clarity through documentation (SOPs, workflows, RACI, process maps).
- High competence with systems and tooling (Filevine preferred, Google Workspace, workflow automation mindset).
- Excellent written and verbal communication skills, with the ability to work effectively with clients, attorneys, and staff.
