The role of Legal Assistant (Medical Records) at Gorospe Law Group is pivotal in ensuring the smooth processing of personal injury claims. This position is integral to supporting our mission of providing unparalleled client service by efficiently handling the acquisition and organization of essential medical records and insurance documents. The successful candidate will support our case managers, facilitating timely responses and proactive management of case files, directly impacting our clients’ recovery journey and case outcomes.
What you’ll do:
- Insurance Claims Setup: Establish and maintain both first and third-party insurance claims, ensuring accuracy and completeness.
- Medical Records Management: Request, track, and acquire medical records and bills from providers; follow up proactively to secure timely submissions.
- Balance Confirmation: Verify balances owed to medical providers and monitor until the information is acquired and documented.
- Subrogation Requests: Prepare and dispatch subrogation requests to health insurance carriers, ensuring follow-through on necessary actions.
- Client Updates (Written Only): Provide written treatment-status updates to clients through the firm’s CRM (text/email style). This role is not expected to handle client phone calls.
- Collaboration: Work closely with in-house case managers to execute tasks efficiently and prioritize workloads.
- Reporting Line: You will report directly to the firm’s two Case Managers, who will assign priorities and review progress.
- Technology Use: Operate within SmartAdvocate CRM and Microsoft 365 to document and track case progress and communications. You’ll also collaborate internally using Microsoft Teams and support communication workflows using RingCentral as needed.
What we’re looking for:
- Experience in PI: Ideally 2-3 years in personal injury matters, focusing on medical records and insurance workflows.
- Legal CRM Proficiency: Experience with legal CRMs required; SmartAdvocate preferred.
- Tech Requirements: Must have a Windows-based computer capable of running SmartAdvocate (Chromebooks are not compatible). Comfortable with Microsoft 365 and working with PDFs.
- Strong Communication: Clear, professional English that ensures effective interaction with U.S. insurance companies and providers.
- Self-directed Work Style: Proactive, detail-oriented, and willing to seek clarification to ensure task correctness.
- Availability for U.S. Hours: Full-time alignment with 9-5 Central Time is essential.
