The Project Coordinator is a member of the Enterprise Accounts CCU Survey & Design Team responsible for supporting coordination, tracking, documentation, scheduling, and reporting activities across the survey and design lifecycle. This role works closely with Survey & Design leadership, engineers and designers, field resources, project management, and client stakeholders to help ensure assigned work is scheduled, documented, progressed, and completed in accordance with established project requirements and service-level expectations.

The position provides day-to-day coordination support for CCU Survey, Design, Site Readiness, One-Offs, IPDVS Break-Fix, and related workstreams while maintaining visibility of milestones, approvals, issues, resubmissions, and dependencies. The Project Coordinator supports execution, follow-up, and escalation while technical decisions, scope ownership, and higher-level project accountability remain with Survey & Design leadership and designated Project Managers.

Salary: $50,000-$60,000


What You'll Do:

Survey & Design Process Coordination

  • Coordinate project support activities across CCU Survey, Design, Site Readiness, One-Off, IPDVS Break-Fix, and related workstreams
  • Maintain accurate project records, task status, deliverables, approvals, and supporting documentation in FileMaker and approved repositories
  • Monitor workflow handoffs from survey through design, submission, resubmission, approval, site readiness, and closeout, as applicable
  • Ensure required information and documentation are collected, organized, and routed to the appropriate team members and stakeholders

Planning & Scheduling Support

  • Maintain and update project schedules, workload trackers, and assignment status under direction of Survey & Design leadership
  • Track milestones, due dates, SLAs/OLAs, survey appointments, design deliverables, approvals, resubmissions, and closeout actions
  • Monitor task progress and follow up with responsible parties to help ensure schedule adherence and timely completion of deliverables
  • Identify scheduling conflicts, delays, or missed dependencies and escalate impacts to Survey & Design leadership

Project Controls & Escalation

  • Maintain and update action items, issues, dependencies, and open-item tracking for assigned workstreams
  • Track design comments, missing site information, approval dependencies, return actions, and other execution blockers through resolution
  • Identify discrepancies or execution gaps and escalate them to the appropriate project or technical leadership
  • Support mitigation tracking, status reporting, and documentation of decisions, commitments, and follow-up actions

Resource & Field / Site Readiness Coordination

  • Coordinate scheduling and assignment of survey and field resources in collaboration with team leadership and applicable field managers
  • Track field execution and ensure required survey data, port-tracing information, photos, forms, and completion documentation are submitted
  • Follow up on site access, site readiness, prerequisites, incomplete work, return visits, and other open field items
  • Communicate resource constraints, scheduling conflicts, or field execution risks to Survey & Design leadership

Design & Documentation Coordination

  • Track design deliverables including BOMs, pre-as-builts, AP layouts, and other required technical documentation through submission and approval
  • Maintain version control and status visibility and route review comments or resubmission requirements to the assigned engineer or designer
  • Support documentation readiness and completeness checks while escalating technical questions and engineering decisions to responsible technical staff

Reporting, Stakeholder Communication & Special Project Support

  • Prepare recurring status reports, dashboards, metrics, and performance summaries for leadership and client-facing reporting requirements
  • Coordinate project meetings, agendas, minutes, action items, and follow-up with internal teams and client stakeholders as directed
  • Maintain communication logs, distribution lists, and status records so critical project updates and commitments are captured and shared
  • Provide coordination support for One-Off, IPDVS Break-Fix, Site Readiness, and other special initiatives as assigned, escalating scope, budget, or technical decisions to leadership

What You Bring:

  • Bachelor's degree preferred or equivalent relevant experience
  • 1-3 years of experience in project coordination, operations, IT field services, logistics, or administrative support
  • Proficiency in Microsoft Excel and Microsoft Office Suite
  • Strong organizational, analytical, documentation, and follow-up skills
  • Ability to manage multiple concurrent workstreams, priorities, deadlines, and dependencies in a structured environment
  • Clear written and verbal communication skills with the ability to coordinate across technical, field, and project teams

Preferred Qualifications

  • Exposure to IT network infrastructure, field surveys, design, deployment, or site-readiness activities
  • Experience coordinating engineers, designers, field technicians, subcontractors, vendors, or client stakeholders
  • Experience working in FileMaker, SharePoint, scheduling, dashboard, or project-tracking platforms
  • Experience supporting large-scale, multi-site deployments or education-sector technology projects
