
Sales & Marketing Coordinator, DACH
Cytokinetics is a late-stage, specialty cardiovascular biopharmaceutical company focused on discovering, developing and commercializing first-in-class muscle activators and next-in-class muscle inhibitors as potential treatments for debilitating diseases in which cardiac muscle performance is compromised. As a leader in muscle biology and the mechanics of muscle performance, the company is developing small molecule drug candidates specifically engineered to impact myocardial muscle function and contractility.
The Sales and Marketing Coordinator plays a vital cross-functional role within the DACH Commercial Department, reporting directly to the Commercial Director DACH. This position supports the efficient planning and execution of key sales and marketing activities, serving as an operational backbone to the Commercial Team.
Acting as a crucial interface between the Commercial Director, Product Managers, external agencies, and internal stakeholders (including Medical Affairs, Legal, and Procurement), the role ensures the timely coordination and implementation of promotional materials, sponsorships, and event logistics. A key responsibility is managing the required contracting and approval processes, e.g. MLR approval process and handling the submission and tracking of materials via Veeva PromoMats, as well as external vendor contracts, for example sponsorship and speaker engagements in Germany.
The ideal candidate brings structure, diligence, compliance awareness, and executional excellence to the day-to-day commercial operations, contributing directly to the successful implementation of marketing initiatives and sales support activities. Attention to detail, proactive communication, and efficient, reliable process coordination are essential for success in this role.
Responsibilities
Project Coordination & Operational Support:
- Coordination of sponsorship agreements and other contract requests.
- Support for event and meeting planning, including venue and material coordination. Manage healthcare professional (HCP) events such as congresses, symposia, educational meetings, and expert panels in collaboration with Commercial and Medical Affairs teams.
- Independently manage and track requests related to promotional and scientific events.
- Interface with external vendors, creative agencies, and internal teams.
- Administration of OPEX budget tracking tools and reports.
Material Review, approval and production:
- Coordination of promotional material submissions and (re)approvals in Veeva PromoMats.
- MLR review process support and follow-up.
- Ensure compliance with internal SOPs and industry regulations during the approval process.
- Coordinate and supervise timely production of marketing materials with external vendors.
Contract and Vendor Management:
- Initiate and track contracts including sponsorships and service agreements.
- Collaborate with procurement to manage Purchase Orders, invoices, and supplier onboarding in collaboration with the Finance / Procurement Team.
- Maintain clear communication with agencies and print service providers for materials and campaigns, ensuring timelines and agreements are adhered to.
Documentation & Compliance:
- Support updating marketing of material libraries, including upload to Veeva Vault and SharePoint.
- Ensure timely follow-up for certifications and re-approvals of promotional materials.
Qualifications and personal skills:
- Bachelor's degree in Business Administration or Equivalent degree & proven experience in pharmaceutical marketing or sales coordination roles.
- At least 5 years of experience in comparable roles within the pharmaceutical industry
- Solid understanding of German pharmaceutical compliance regulations.
- Operative experience with Veeva PromoMats and MLR processes.
- Strong project management, organization, and communication skills.
- Advanced proficiency with office software (e.g. Office 365), administrative/finance tools, and contract management systems.
- Fluency in German and English (written and spoken).
- Ability to handle multiple stakeholders and prioritize tasks effectively.
