Delegation & Events Coordinator

Job Summary:
DB E.C.O. North America is seeking a talented Delegation and Events Coordinator to join our marketing team. This role will play a key part in driving our marketing initiatives and executing successful in-person events. The ideal candidate will have a minimum of 5+ years of event planning experience, along with strong organizational skills and attention to detail.
Responsibilities:
Events (75 %)
- Plan, promote, and execute a minimum of 4-5 in-person events (including international events).
- Manage all event logistics (including hotel, transportation, venue, catering, AV equipment, and video and photographer selection), agenda development and organization, and oversee the invitation management process with attendees.
- Manage the internal customer database by regularly updating and monitoring customer records for consistency and accuracy.
- Develop relevant event documentation, including agendas, briefings, and presentations.
- Create and maintain event planning processes required for the successful and efficient execution of events.
- Maintain accurate event records, including attendance, auction results and expenses.
- Develop and maintain standard operating procedures related to event planning.
- Internally coordinate event and conference participation, including scheduling, logistics, and communication with team members.
- Respond promptly and professionally to marketing and event inquiries.
- Perform other duties as assigned by the marketing team.
Marketing (25%)
- Other duties as assigned by the marketing team. May include managing social media platforms.
- Assisting in event promotion through various channels.
- Creating and disseminating internal newsletters – includes drafting content and collaborating with internal departments.
- Maintaining DB E.C.O. North America’s website (WordPress).
- Manage DB E.C.O. North America’s content library including photos and videos.
Requirements:
- Ability to travel 3-4 times per year domestically and/or internationally.
- Bachelor’s degree in marketing, communications, event management or related field preferred.
- 5+ years’ experience in an organization, or administrative support role is desirable.
- Attention to detail and ability to multitask.
- Self-starter and collaborative team member.
- Proficiency Advanced knowledge in Microsoft Office programs and experience in WordPress.
- Strong verbal and written communication skills.
- Fluency in English is required, proficiency in speaking and writing German is a plus.
- Familiar with the internal organization of Deutsche Bahn Group in Germany, including the different business units, their functions, and how they collaborate to achieve corporate goals. Ability to navigate the organizational structure to coordinate effectively across departments and stakeholders is desirable.
We offer an annual gross salary between $60,000 and $75,000 for full-time employment, depending on professional qualifications and experience.
