We are seeking a highly organized and proactive Operations Specialist to oversee and streamline the daily business activities across our US and MENA offices. This role is pivotal in ensuring seamless coordination between regional teams, managing travel logistics, procurement, vendor relationships, and compliance with all external legal and regulatory requirements. The ideal candidate will be instrumental in driving process improvements, managing budgets, and delivering insightful operational reports to support informed decision-making. RESPONSIBILITIES

  • Manage and oversee daily business operations to ensure efficiency and effectiveness in both the US and MENA offices.
  • Ensure smooth operations and communication between the US and MENA office locations, addressing any issues that arise promptly.
  • Handle travel arrangements efficiently, ensuring all logistics are cost-effective and well-coordinated.
  • Oversee purchasing processes and maintain solid supplier relationships.
  • Maintain and manage all external requirements, including legal, accounting, and state requirements, ensuring full compliance with relevant regulations and standards.
  • Identify and implement process improvements to enhance operational efficiency and effectiveness.
  • Manage relationships with external vendors and service providers to ensure high-quality service and support.
  • Support budget planning and management activities.
  • Assist in preparing regular reports on operational performance, focusing on key metrics and identifying areas for improvement.
  • Collaborate with other departments and teams to support overall business objectives and ensure smooth operational workflows.
  • Coordinate with the IT representative to provide IT support and ensure seamless technology operations across offices.
  • Ensure all operations comply with company policies and industry regulations.

QUALIFICATIONS

Required Qualifications

  • Bachelor’s degree in Business Administration, Operations Management, or a related field.
  • 5+ years of experience in operations management.
  • Proven experience in managing day-to-day business operations and ensuring smooth office operations.
  • Strong knowledge of legal and accounting requirements.
  • Fluency in English is a must.
  • Excellent organizational and problem-solving skills.
  • Strong communication and interpersonal skills.
  • Proficiency in the MS Office Suite and other relevant software.
  • Ability to manage multiple tasks and projects simultaneously.
  • Strong attention to detail and a proactive approach to managing operations.

Preferred Qualifications

  • Operations management experience with professional construction consultancies is a plus.
