About the position:
The Administrative Assistant will work directly with C-level executives and will be responsible for performing a range of important duties. The ideal candidate is highly self-motivated, professional, organized, and capable of managing their workload and prioritizing tasks in a fast-paced corporate environment.
What you'll do:
This role covers a wide variety of administrative tasks that facilitate executives’ ability to lead and manage the organization effectively:
- Maintain calendar and schedule for executives
- Liaison to senior members of executive team, members of the board of directors, and investment community
- Coordinate and book meetings and appointments, arranging sessions with multiple parties and groups, internal and external
- Collect and prepare information, agendas, and presentations for meetings with internal staff and outside parties
- Coordinate and book travel, compile documents for travel-related activities, and complete expense reports
- Design, produce, and update complex documents, reports, slide decks, and presentations
- Coordinate executive-level meetings and company-wide meetings/town halls. When required, maintain minutes for meetings and uphold a strict level of confidentiality
- Assist in planning for the company and department-sponsored events (e.g., sales kickoff, office events, or holiday parties)
- Research, prioritize, and follow up on issues and concerns directed by executives, including those of a sensitive or confidential nature. Assist in the appropriate course of action or response
- Compose and prepare correspondence and craft first draft of written communications
- Assist with special projects and manage deliverables in support of department initiatives
What you’ll need:
- 2-4 years of experience reporting directly to senior management
- Advanced Microsoft Office skills (especially PowerPoint), with an ability to become familiar with firm-specific programs and software
- Strong organizational, communication, and problem-solving skills with impeccable multi-tasking abilities
- Ability to look ahead in planning and help departments run more efficiently
- Ability to commute to the Framingham, MA Office two days per week
