About the Role:
Demandbase is looking for a proactive, customer-service oriented, and organized Workplace Experience Coordinator to support our San Francisco headquarters and satellite offices. This is an hourly, in-office role based in San Francisco, working Monday through Friday. Reporting to the Sr. Director of Places, you will play a key role in keeping our office running smoothly, while helping to create a seamless workplace experience for employees and guests. Your work will directly support our culture and help make Demandbase a great place to work.
The base compensation range for this in-office position for candidates in the SF Bay Area is: $76,000 ($36.50/hour) - $114,000 ($54.80/hr). Actual compensation packages are based on a wide array of factors unique to each candidate, including but not limited to skillset, years of experience, and depth of experience.
What you’ll be doing:
- Serve as the primary point of contact for all office-related matters.
- Manage office access and security, including visitor check-in, badges, and greeting guests.
- Oversee vendor relationships for office supplies and services; coordinate building procedures and access.
- Plan, partner on, and oversee onsite events, happy hours, and other office gatherings, managing logistics, setup, supplies, and cleanup.
- Organize weekly lunches in San Francisco, Austin, and New York, along with occasional ad hoc meals.
- Support office attendance by managing desk bookings and cancellations.
- Submit and manage Certificates of Insurance (COIs) for vendors in coordination with landlord and building management.
- Provide reception support by answering and directing calls, managing visitor protocols, and badge administration.
- Track monthly office expenses using Google Sheets.
- Handle mail distribution (online and physical), shipping requests, deliveries and returns, and mail pickup.
- Maintain office cleanliness across conference rooms, storage areas, and kitchen spaces.
- Co-manage the Emergency Response Team to help ensure a safe workplace.
- Monitor and respond to internal tickets and office-related requests.
- Restock supplies, clean whiteboards, water plants, and reset desks to keep spaces guest-ready.
- Handle confidential and business-critical information with discretion.
- Take on special projects as assigned.
- Ability to lift up to 50 lbs and perform hands-on office tasks.
What we’re looking for:
- 2–3 years of experience in office administration, workplace coordination, or a hospitality environment
- A passion for creating a welcoming environment for employees and guests
- A service-first mindset and a proactive approach to problem-solving
- Comfort balancing both strategic and hands-on tasks—no task is too big or too small
- Experience working with landlords, vendors, and/or security systems, including service procurement and issue resolution
- A self-starter who understands priorities and takes initiative
- Proficiency in Google Suite and strong communication skills
- Ability to thrive in a fast-paced, rapidly growing organization
- Flexibility and adaptability to last-minute changes and requests
