Democracy 2025 Associate

Position Summary:

Democracy Forward Foundation seeks multiple highly collaborative Associates to join its Democracy 2025 team. Democracy 2025 is Democracy Forward’s infrastructure to support the entire pro-democracy legal movement. 

The Associate, Democracy 2025 will support Democracy 2025 coalition administration and operations. A successful candidate will exhibit excellent attention to detail, high-quality communication skills, be able to prioritize among competing tasks, and execute key administrative and operational tasks on a daily and weekly basis. This role will work collaboratively with the entire Democracy 2025 team.

Democracy Forward’s office is located in Washington, DC; the employee is expected to be in the office an average of 2 days per week. While candidates in the DC area are preferred, remote candidates outside of the DC area will also be considered. If a candidate is outside of the DC area, travel to DC is expected 1-2 times per quarter. 

The Associate, Democracy 2025 will report to the Program Specialist, Democracy 2025 and work closely with the Democracy 2025 Director and the entire Democracy 2025 team. 

Key Responsibilities:

Democracy 2025 Administrative, Operations, and Technological Support:

  • Schedule and coordinate regular external virtual meetings, including maintaining the calendar for key Democracy 2025 meetings and managing related listservs.
  • Provide operational support to virtual meetings, including:
    • Managing the team’s Zoom account and opening/closing Zoom calls;
    • Monitoring the chat and screening attendees;
    • Sending meeting-related emails, including agendas and follow ups;
    • Supporting meeting confidentiality and security protocols during meetings;
    • Taking detailed meeting notes; and
    • Identifying and tracking follow up items. 
  • Operate large, external webinars, including managing webinar registration, breakout rooms, and other features.
  • Manage the external-facing coalition inbox, including responding to inquiries based on existing templates or elevating inquiries to other team members as appropriate. 
  • Occasional inbox monitoring on nights and weekends.
  • Support membership operations, including: 
    • Regularly checking database for new membership requests; 
    • Provide administrative support for the vetting and approval process for membership; 
    • Conducting research to vet and verify new members; and
    • Maintaining accurate membership lists in internal databases and ensuring members are added to appropriate listservs.
  • Provide administrative support for our secure Resource Center website, including tracking, and vetting access requests; uploading content, and managing access and password reset requests. 
  • Provide administrative support for our public-facing Response Center and maintain underlying litigation and policy tracking databases.
  • Ensuring overall smooth administrative processes, and completing additional administrative and operational support as assigned and as Democracy 2025 assets and processes evolve. 

Democracy 2025 Knowledge Management Support:

  • Upload and organize key materials in Democracy 2025 systems, including uploading documents within the Resource Center and internal file systems. 
  • Continuously update and maintain digital file storage systems, including keeping drive folders current and maintaining resource or operational trackers.
  • Track and document various Democracy 2025 assets, including but not limited to tracking and filing completed NDAs and maintaining a record of inquiries related to specific issues. 

Democracy 2025 Communications Support: 

  • Proofread and review internal and external materials created by the Democracy 2025 team, ensuring clarity, accuracy, and adherence to formatting standards.
  • Send standardized/template outreach to external partners through the D25 email inbox, and send out coalition emails, meeting invites, and agendas.

  • Proactive and takes initiative.
  • Highly motivated, able to handle multiple tasks simultaneously and see them through to completion. 
  • Willingness to be flexible and support priorities as they emerge.
  • Strong computer skills with knowledge and experience in Google Platform and Zoom, and willingness to further build those skills.
  • This role may require occasional travel for team retreats, conferences, or similar events.

Preferred:

  • Experience working in a nonprofit, mission-driven, or advocacy organization.
  • Familiarity with Wordpress and Airtable, or ability and willingness to learn.

The salary range for this position is $65,000-$75,000 plus excellent benefits. Compensation is commensurate with experience.
