JOB PURPOSE

We are seeking a Junior Project Manager to support our Global Director Operational Excellence on operational projects across the globe. As part of the global Finance team you support us in our journey to lead through AI-enabled operational excellence and by using data to bring strategic insights to our business. As a Junior Project Manager Global Operational Excellence you will work together with different stakeholders across DEPT® and work together with local Finance/Operations teams to drive operational excellence across the business.  

KEY RESPONSIBILITIES

 

Global Project Team Support

  • Support the global project team during the roll-out of new project tools.
  • Key priority is the roll-out of a tool in the Americas, which would involve supporting the aforementioned team on all day-to-day project management tasks, such as scheduling & facilitating meetings & training - including preparing agendas, taking notes and tracking actions - preparing and maintaining documentation, maintaining tasks and tracking deliverables in a project management tool (Jira). 
  • Act as a point of contact for simple queries, and support in any onboarding activities as required.

Data Hygiene

  • Support and implement data hygiene initiatives in all regions driven by Global Director Operational Excellence, such as:
    • Assisting in auditing existing project data for completeness & accuracy.
    • Ensuring global policies are being followed for Sales projects, inter-company projects, as well as for time tracking.
    • Ensuring all policies are clearly documented and shared with teams.
  • This involves standardizing processes, increasing knowledge of DEPT® KPIs and improving the adoption of PowerBI/Data Warehouse, in collaboration with our BI team.  
  • Support the day-to-day activities of any given market that needs extra attention or assistance in implementing Data hygiene policies. 
  • Monitor and report on improvements on data quality.

Time Entry

  • Support the team in continuously pushing for high levels of time entry completeness + quality across regions.
  • Create and send out weekly reports to individual teams, maintain other time entry reports for the Global Operational Excellence Team.

Operations Governance & Communication 

  • Manage the internal communication channels
  • Prepare content, create the content calendar and share general updates to increase involvement from all regions. 
  • Maintain the Operations org chart and manage overview of Operations projects and roadmap.  
  • Support in gathering feedback from teams to continuously improve communication & processes.

Operations Help Center

  • Keeping all content on the help center up to date with the latest policy and process changes.

 

WHAT WE ARE LOOKING FOR

  • Up to 3 years of experience in Project management / Operations with a process alignment driven mindset. You love to bring structure to your own daily work, and suggest practical improvements to make existing team processes even more efficient.
  • Ability to multitask; you will be asked to work on multiple projects simultaneously. You can prioritise effectively and proactively escalate any issues or bottlenecks.
  • Working with interdisciplinary teams; in this role you will work together with stakeholders from different teams and backgrounds across DEPT®, particularly colleagues from our Capacity Planning, Finance, BI and Local Operations team.
  • A data-driven mindset: you understand the importance of backing up ideas with numbers, of data accuracy & consistency, and have the ability to connect operational processes to data (PowerBI, Data Warehouse).
  • Global mindset and approach; acknowledging and balancing the differences in operational maturity between regions and teams, navigating cultural differences while understanding the bigger picture.
  • Experience with project management processes and tools and client experience would be considered a plus. You are quick to learn how to use new systems, and demonstrate curiosity and willingness to experiment with new tools and technologies, including AI - to drive efficiency & quality.
  • Experience with PSA tools would be considered a plus.
  • Essential: A strong interest in the practical applications of AI in a business context, with a proactive approach to embedding new technologies in your daily work. 
  • Experience using generative AI or other smart tools in a professional or personal capacity to increase productivity and solve problems is nice to have.
