The Area Administrative Operations Manager works collaboratively with Sales and Operations Management teams to ensure all back-office operations and administrative personnel deliver excellence in administrative processes while continuously leading training initiatives for developing high-performing administrative teams across multiple offices in the SE Area.

POSITION OVERVIEW

Additionally, the Area Administrative Operations Manager works directly with and alongside Regional/District Administration Managers, Area Administration Business Specialists, and other Administrative Managers, and their teams of administrative associates. Ensures multiple aspects of sales and service operations support are well understood and supported by the administration team. The position requires a collaborative, hands-on leader to manage daily functions while driving process improvement and team development across many offices.

PRIMARY RESPONSIBILITIES

  • Oversee, manage and continually evaluate back-office administration functions, workflow, and productivity, which include, but are not limited to: Customer Service, Sales Order Entry, Contracts, Billing and Invoicing
  • Supervise and mentor direct reports, providing guidance to ensure accuracy, timeliness, and high-quality support and consistently provide constructive feedback
  • Proactively identify areas in the business for improvement utilizing audit results and our data-driven administrative/operational reports
  • Collaborate and directly support Mid and Senior level Administration as well as Operational leadership to align administration, sales, and operational processes and outcomes with company goals, reporting requirements, and standards
  • Train and develop team members to foster growth, consistency, and efficiency
  • Ensure compliance with company policies and internal controls
  • Lead team meetings, support and participate in recruiting, interviewing, hiring and onboarding all levels of administrative and customer service personnel to include evaluating new hires during training phase and setting clear expectations for performance
  • Promote and participate in activities supporting team building, health and wellness, volunteering in our community, and manage annual dinner event processes to control costs and success
  • Travel 25% - 40% to SE Area Offices, which currently include:
    • Southern Region [Atlanta, GA, Dalton, GA, Nashville, TN, and Huntsville, AL] and Florida [Jacksonville, Port St. Lucie, Tampa, Orlando, Apopka]
  • Knowledge of ERP systems as well as some degree of familiarity with AI

QUALIFICATIONS:

  • Business degree preferred with minimum five (5) years of Administrative Management / Administration Operations Management / Multi-Branch Administration Management coupled with a minimum of five (5) years of administrative office experience with direct experience and knowledge of: Managing Administrative Staff and Managers, Reporting, C/S, Sales Order Entry, Contracts, billing, invoicing, and auditing. Minimum requirement is a High School Diploma or equivalent coupled with a minimum of ten (10) years of management experience.
  • Must be willing to travel 25% - 40% to SE Area Offices; onsite visits at least quarterly to larger offices and twice/year to smaller offices with more frequent visits to underperforming offices and when business necessitates such as for onboarding following acquisitions and to assist with implementations.
  • Successful completion of references, employment verifications, background check, and drug screen required in advance of hire. Must have a good driving record.
  • Technical proficiency: Microsoft Office Suite is a must to include proficiency with Excel; ERP and CRM system experience is also very important, as is experience with BI Reports and Dashboard and knowledge of ERP systems as well as some degree of familiarity with AI.
  • Successful candidate will have excellent communication and customer relation skills, high sense of urgency with exceptional problem-solving skills and a keen sense for details.
