About the role:
The People Operations Coordinator is responsible for the day-to-day operation, safety, and employee experience of the local office. This role ensures that each office is a welcoming, well-run, and safe environment where employees can do their best work.
People Operations Coordinators are a critical part of the People & Workplaces function. They execute global workplace standards locally, partner closely with HR Business Partners and People Operations, and serve as the on-the-ground point of contact for office-related needs.
Responsibilities:
Office Operations & Employee Experience
- Serves as the primary point of contact for day-to-day office operations
- Maintains a clean, organized, and professional office environment
- Coordinates kitchen and office supplies, equipment, amenities, and shared resources
- Supports onboarding and offboarding logistics for on-site employees
- Manages company swag inventory and distribution
- Assists with office events, meetings, and employee engagement activities
Workplace Safety & Facilities Coordination
- Executes global workplace safety standards and local health & safety requirements
- Coordinates maintenance requests, repairs, and safety issues with building management
- Supports office access, security protocols, and visitor management
- Participates in quarterly workplace standards and safety reviews
- Escalates safety or facilities risks promptly through defined channels
Vendor & Service Coordination
- Coordinates with facilities and service vendors to ensure timely, high-quality service
- Supports onboarding and management of recurring vendors (e.g., cleaning, plants, shredding)
- Tracks vendor issues and escalate concerns as needed
- Supports annual vendor reviews and contract updates in partnership with People Operations
Administrative & Operational Support
- Supports basic operational administration related to the office (receipts, records, tracking)
- Assists with expense tracking and reconciliation in coordination with Finance
- Maintains accurate office documentation and records
- Supports laptop and other IT equipment dispatch and returns in partnership with IT and People Operations
Collaboration & Communication
- Partners closely with: Regional HRBP - on employee experience, engagement, and local needs. People Operations & Infrastructure - on standards, vendors, and budgets. IT, Finance, and Facilities - as needed
- Acts as a trusted, approachable resource for employees with office-related questions
- Communicates office updates, changes, or issues clearly and proactively
What We're Looking For:
- Experience in office operations, workplace coordination, or facilities support
- Strong organizational and multitasking skills with attention to detail
- Clear, professional communication and interpersonal skills
- Comfort working with vendors, building management, and internal teams
- Ability to handle sensitive information with discretion
- Proficiency with Google Workspace, Slack and common office tools
- Experience supporting employee-facing environments
