Position Overview: 

Diligent is hiring a Talent Acquisition Operations Specialist in our Bangalore, India office. As a Talent Acquisition Operations Specialist, you will join a global team and will be responsible for managing the post-offer new-hire process, ensuring a seamless transition from candidate acceptance through Day 1. This includes drafting employment agreements, initiating and monitoring all onboarding activities, coordinating background checks, and ensuring full compliance with internal policies and regional regulations.

You will collaborate closely with Talent Acquisition, HRIS, Business Technology Services (BTS), and New Hire Orientation teams to deliver a consistent and high-quality onboarding experience. Experience with Greenhouse Recruiting and Greenhouse Onboarding is preferred. 

This is a fixed term hybrid position based out of our Bangalore, India office. Employees are expected to be onsite at least 50% of the month to support effective cross-functional collaboration.

 

Key Responsibilities

  • Draft, issue, and manage employment agreements and offer documentation for all new hires.
  • Own the onboarding workflow from offer acceptance through Day 1, ensuring all tasks are completed accurately and on schedule.
  • Coordinate and monitor background checks, ensuring full compliance with legal, regulatory, and company standards.
  • Partner with TA, HRIS, IT, Payroll, and Orientation teams to ensure timely system setup, provisioning, and new-hire readiness.
  • Act as the primary operational contact for new hires, guiding them through onboarding requirements and addressing questions proactively.
  • Maintain data accuracy in Greenhouse Recruiting, Greenhouse Onboarding, and HRIS by managing updates, audits, and workflow integrity.
  • Identify process gaps or bottlenecks and propose operational improvements that enhance efficiency, compliance, and candidate experience.
  • Ensure all onboarding documentation and processes remain compliant across regions and aligned with internal policies.
  • Track onboarding metrics, monitor SLAs, and communicate progress to stakeholders.

 

Required Experience/Skills 

  • 1-3 years of experience in Talent Acquisition Operations, HR Operations, or related onboarding-focused roles.
  • Strong understanding of end-to-end onboarding workflows, employment agreements, and background check processes.
  • Experience using Greenhouse Recruiting and Greenhouse Onboarding strongly preferred; familiarity with HRIS platforms is a plus.
  • Excellent communication skills with the ability to collaborate effectively across TA, HR, HRIS, and IT teams.
  • Strong attention to detail, organization, and compliance awareness.
  • Ability to manage multiple concurrent onboarding cycles and prioritize effectively in a fast-paced environment.
  • Process-oriented mindset with demonstrated ability to build efficient, repeatable workflows.
