Commercial Operations Coordinator

Massachusetts - Hybrid

POSITION OVERVIEW:

This will provide high-level administrative support to the CCO and the commercial leadership team, ensuring efficient operation of the commercial department. This role requires a proactive and detail-oriented individual with extensive experience in the pharmaceutical or biotech industry. The ideal candidate will have a strong background in supporting commercial organizations and possess exceptional organizational and communication skills.

RESPONSIBILITIES:

  • Manage the CCO's calendar, schedule meetings, and coordinate travel arrangements.
  • Manage correspondence and communications on behalf of the CCO.
  • Prepare agendas, materials, and minutes for meetings. Ensure follow-up on action items and deadlines.
  • Assist in the planning and execution of commercial projects and initiatives. Track progress and provide regular updates to the CCO and commercial leaders.
  • Prepare, review, and organize documents, presentations, and reports. Maintain confidentiality of sensitive information.
  • Serve as a liaison between the commercial leaders and internal/external stakeholders, facilitating effective communication within the commercial team.
  • Coordinate and manage logistics for commercial events, conferences, and meetings.
  • Process expense reports and manage the CCO's budget for travel and other expenditures.

 REQUIREMENTS:

  • Bachelor's degree in Business Administration, Communications, or a related field is preferred.
  • Minimum of 10 years of experience as an executive assistant or operations coordinator
  • Minimum 5 years supporting senior executives in the pharmaceutical or biotech industry
  • Strong understanding of the commercial functions within a pharma or biotech company.
  • Excellent organizational, communication, and interpersonal skills.
  • Proficiency in Microsoft Office Suite and other relevant software.
  • High level of professionalism, discretion, and attention to detail. Ability to work independently and manage multiple priorities.
