
Office Coordinator

Summary
DivcoWest is seeking a part-time Office Coordinator for our Cambridge, MA office. This role is the face of the office—welcoming guests, supporting staff, and keeping daily operations running smoothly. The ideal candidate is proactive, personable, and eager to make the workplace a welcoming, efficient environment.
This role is onsite at our Cambridge, MA office four days per week (Monday–Thursday, 8:30 a.m.–2:30 p.m. ET).
Responsibilities
This position supports the overall office environment through reception, office management, and administrative assistance. The Office Coordinator helps maintain a positive, organized, and accessible workplace for all team members and guests.
Reception:
- Welcome and assist visitors, coordinating check-ins and notifying staff of arrivals
 - Answer and route incoming calls with professionalism and warmth
 - Maintain a safe, tidy, and inviting reception area
 - Escort visitors to meeting rooms and provide refreshments
 - Issue parking passes and assist with visitor logistics
 - Act as primary contact for mail, shipping, and maintenance needs
 
Office Management:
- Maintain office and kitchen supplies; manage vendor relationships
 - Order groceries and refreshments for staff
 - Open and prepare office daily (coffee, kitchen, lounge areas)
 - Ensure common areas remain organized, accessible, and presentable
 - Submit maintenance requests and coordinate repairs as needed
 - Support printing systems and inventory management
 
Administration:
- Maintain office directory and assist with document preparation
 - Distribute incoming mail and packages daily
 - Keep conference rooms prepared and organized
 - Partner with IT and HR on policies, procedures, and office-related projects and initiatives
 - Provide occasional backup support to the Executive Assistant and Administrative team
 
Qualifications
- Bachelor’s degree, 2+ years of office experience, or relevant experience (administrative, hospitality, or operations roles)
 - Professional, approachable, and detail-oriented with strong communication skills
 - Comfortable working independently and managing multiple priorities
 - Proficiency in Microsoft Office (Outlook, Word, Excel)
 - Trustworthy with confidential information and committed to fostering inclusion and respect
 - Energetic and eager to contribute to a positive team culture
 
May occasionally assist with moving light office supplies or materials (up to ~30lbs) with or without reasonable accommodation.
Compensation
- $20-$30/hour based on qualifications
