Description:

This role provides a unique opportunity to be directly involved at the foundational level of that growth. As we expand regionally and integrate best practices across affiliated brands within the enterprise portfolio, you will help build and institutionalize the financial systems, reporting standards, and administrative controls necessary to support scalable growth. The processes developed within this division may serve as implementation benchmarks across additional brands in the portfolio.

 

Your work will directly contribute to improved cash flow velocity, strengthened working capital management, enhanced project-level visibility, and enterprise-wide reporting discipline — all critical components of our long-term value creation strategy.

 

Reporting Structure:

You will report directly to the Director of Operations and collaborate closely with Project Managers, Superintendents, Pre-Construction, and Accounting to ensure operational alignment, financial accuracy, and reporting consistency.

Strategic Role & Responsibilities

As Commercial Administrator, you will serve as a key financial and administrative leader within the commercial division. This position extends beyond transactional execution and includes system development, financial oversight, internal controls, and scalable process implementation.

Core responsibilities:

  • Oversight and management of Accounts Receivable and Accounts Payable including invoice batching & exporting. 
  • Payroll time review and coordination
  • Project budget development, tracking, forecasting, and cost control
  • Preparation and submission of pay applications & lien waivers
  • Monitoring and reconciliation of returns impacting project budgets
  • Backend project closeout and documentation management
  • Office coordination and administrative leadership
  • Direct administrative support to Project Managers and Superintendents
  • Coordination with the Pre-Construction Specialist to ensure financial continuity from bid through closeout
  • HR resource support for commercial production staff
  • Executive-level operational and reporting support to the Director of Operations

In addition, you will assist in strengthening reporting cadence, improving KPI dashboards, refining workflow efficiencies, and contributing to scalable financial controls that align with enterprise-level performance standards.

Requirements: 

  • Advanced MS Excel proficiency
  • AP/AR accounting experience
  • Project-based or operations support experience
  • Strong organization and multitasking skills
  • High attention to detail and accuracy
  • Cross-functional collaboration skills
  • Ability to operate in a fast-paced, evolving environment
  • Strong communication and accountability mindset
  • Proactive, process-building approach

Preferred: 
Construction or commercial contracting experience
Familiarity with pay apps, lien waivers, or project accounting
Experience working with general contractors

Compensation: Target Salary dependent on experience ($70,000 - $80,000) + Performance Based Bonuses 

Location: Nashville, TN (On-site daily) 

FLSA: Salaried, Exempt

Compensation for this role may be provided as hourly pay, salary, commission, piece-rate, bonuses, incentives, or a combination of these methods, depending on the position. The “Target Salary Compensation” listed reflects our good-faith estimate of what we reasonably expect to pay for this role, based on factors such as experience, skills, candidate geographic location, state the job is located in, historical trends, and business needs. Actual earnings may vary.

Target Salary Compensation:

$70,000 - $80,000 USD
