About the team
Product & Design builds the customer experiences that define DoorDash. We are a global organization working across regions and time zones. This role is based in our Mexico City office (hybrid) and supports multiple senior leaders across Product & Design.
Role summary
The T5 Executive Assistant partners with 2–3 Senior Directors in Product & Design. This is a hands-on, manager-level role: you will deliver high-quality executive support focused on strategic calendar management, expense administration, travel and room/venue bookings, and periodic virtual event production, and you will hire, train, and scale a small EA team to own these functions across the org. Success requires sound judgment, strong operational planning and process development skills, vendor coordination (booking/logistics), and the ability to standardize and scale day-to-day execution.
What you’ll do
- Strategic calendar management. Own prioritized calendar strategies for 2–3 Sr. Directors: protect focus time, balance competing agendas, implement time-blocking and meeting templates, and manage complex multi-timezone coordination.
- Expense administration. Own the expense lifecycle for your leaders: approvals, reconciliations, policy compliance, and partnership with the travel and engagement team for efficient workflows.
- Travel, room & venue bookings. Manage complex travel itineraries, secure conference rooms and offsite venues, coordinate meeting spaces and AV needs (on-site and virtual), and optimize travel expense.
- Activity, meal & reservations coordination. Arrange team meals, activities, and on-site reservations (catering, restaurants, group activities) for meetings and offsites; manage vendor relationships and booking logistics.
- Virtual event support. Provide periodic basic production support for virtual leadership forums and webinars — manage platform setup (Zoom/webinar), participant logistics, recording, and distribution of post-event recordings and materials.
- Scale operations as a manager. Hire, onboard, train, and manage a small EA team that will replicate and own these capabilities for Sr. Directors across Product & Design. Create playbooks, training materials, quality checks to ensure consistent execution.
- Design repeatable systems. Build templates, automations, and documentation (playbooks) to reduce leader overhead and enable team scale.
- Maintain confidentiality. Handle sensitive materials and calendar visibility with discretion; implement least-privilege access and secure sharing practices.
- Operate with independent judgment. Anticipate needs, make operational decisions within agreed boundaries, escalate appropriately, and continuously improve team performance.
Minimum qualifications
- 5+ years supporting senior leaders or equivalent experience in fast-paced organizations.
- Direct experience supporting Sr. Directors, Heads, or VPs (supporting multiple senior leaders preferred).
- Demonstrated experience hiring, coaching, or managing administrative staff or small teams and scaling operational processes.
- Deep experience with strategic calendar management for senior leaders, including multi-timezone coordination and delegated-access governance.
- Hands-on experience with expense systems and travel management (e.g., Concur, Expensify, or equivalent), and reconciliations.
- Practical experience securing meeting rooms and venues, managing AV/tech needs, and booking group meals/activities and reservations.
- Practical experience supporting virtual events (run-of-show, Zoom/webinar ops) and basic production coordination.
- Advanced proficiency with enterprise calendaring and collaboration tools (Google, Slack, Zoom) and scheduling/automation platforms.
- Strong written/verbal communication, project management, and stakeholder partnering.
- Demonstrated discretion handling confidential information.
- Willingness to travel periodically to other offices for training/collaboration and occasional travel to the U.S. for offsites; able to work occasional global hours.
Preferred qualifications
- Experience supporting Senior Directors in Product, Design, or technical organizations.
- Track record of designing and scaling operational playbooks, scheduling automations, and team training programs.
- Practical, human-in-the-loop experience applying AI/automation to streamline briefing or scheduling workflows (useful but not required).

Availability norms & travel
Hybrid role based in Mexico City (CDMX): in-office three days per week and two remote days. The role follows regular local business hours (Mexico City time). The EA should be flexible to work occasional early mornings, evenings, or other hours to support cross-regional events or travel when needed. Periodic travel to other offices for training/collaboration and on rare occasions travel to the U.S. for offsites may be required.
Global Product Office Hours (Tuesdays): 8:00 AM CDMX time.
