Executive Assistant to CCO and CTO

Downtown Music Holdings seeks an Executive Assistant to support Downtown’s Chief Commercial Officer (New York) and Chief Technical Officer (London). As the Executive Assistant, you will manage a variety of administrative tasks to support C-level executives, and ensure their efficiency and productivity. The ideal candidate should be comfortable working across different time zones, and be able to respond to any queries in a timely manner. This is a fast-paced environment and flexibility will be required. This hybrid position will be based in our New York City office.
What will you be doing?
- Provide complex calendar support to 2 executives, including the scheduling, coordination and management of all internal and external meetings
- Draft and prepare correspondence for meetings including agendas, notes and follow-ups, as requested
- Submit credit card and expense reports on behalf of Executives in a timely manner
- Coordinate and arrange all travel for executives including flights, trains and hotels
- Support in any ad-hoc projects including preparation of presentations, reports, special projects for the Executive team and possibly wider organization
- Prioritize conflicting needs; handle matters expeditiously and proactively, and follow through on projects to successful completion, often with time sensitive deadlines
You are / have:
- 2+ year administrative experience supporting one or more executives (preferred)
- Demonstrable experience in a similar role within a fast-paced, international environment
- Highly organized with the ability to manage competing priorities and work with time sensitive deadlines
- Extremely organized with remarkable attention to detail while working in a fast-paced, ever-changing environment
- Flexible mindset and a strong team player with team-orientated experience and approach
- Ability to handle confidential information with the highest level of professionalism and discretion
- Excellent communicator - able to interact with people in a confident, professional manner at all levels within the organization
- An affinity for and/or experience in the creative or media industries
Skills:
- Modern office tools, ideally Google Suite, and some Microsoft Office products
- Presentation building in Google Slides or Powerpoint
- Project management software

Downtown provides base salary ranges for all positions located in the United States at the time of posting. The hiring range for this position is $60,000 - $80,000 annually. As a candidate for this position, your salary and related elements of compensation will be contingent upon various factors including, but not limited to, work experience, geographic location and relevant skills. Downtown is committed to providing a comprehensive market-competitive total rewards program for its employees which includes medical, dental, and vision, life insurance, 401(k) match and generous paid time off. This range does not include any other variable compensation components.
