 THE JOB / Office Services Coordinator

Octagon is looking for a full-time Office Services Coordinator for our Talent + Properties headquarters in McLean. In this 100% in-office role, you will help run our day-to-day office operations and support the People & Culture team with recruitment, project management, and programming. As the first person to greet employees and guests, it's important that you possess a welcoming and professional demeanor.

Who we’re looking for

  • You have a professional appearance, great interpersonal skills, and a positive outlook
  • You possess the ability to exercise good judgment and discretion, especially regarding sensitive or confidential personnel or company matters
  • You have excellent organizational skills and attention to detail
  • You have outstanding verbal and written communication skills
  • You are punctual and reliable
  • You take the initiative to solve problems, recommend process improvements or share new program ideas
  • You have a consistent record of ability to prioritize, meet deadlines and remain calm under pressure
  • You are proficient with Microsoft Office Suite (Word, Excel, Outlook & PowerPoint)
  • You can work independently and within a team
  • You have prior receptionist/administrative support experience

The work you’ll do

  • Assist in day-to-day management of our office, ensuring that things run smoothly
  • Welcome visitors to the office
  • Assist with creating, planning and coordinating company social events
  • Sort and distribute incoming mail and packages
  • Log and distribute incoming checks
  • Regularly check office common space to ensure that all furniture and equipment are in working order and that shared spaces are neat and organized
  • Keep kitchens clean and stocked with dishes and supplies
  • Answer and transfer incoming calls
  • Manage conference room schedule, setup and cleanup
  • Monitor office equipment, and coordinate maintenance, repair and lease agreements on equipment
  • Order and maintain office supplies
  • Support the People & Culture team by posting positions on Octagon’s website and scheduling interviews
  • Manage the general email inbox
  • Other reasonably related duties as assigned
