Business Operations Manager (Long-Term Contract/Freelance)

**Candidates must be local to the Bay Area and work from the office regularly (min of 3 days per week)**

We are seeking a highly organized, proactive, and detail-oriented Business Operations Manager to support the operation of our San Francisco office while fostering a positive and engaging workplace culture. This role will act as the operational pulse of the office, ensuring efficiency, organization, and employee support. Responsibilities span office management, employee engagement initiatives, key client project support, and process optimization. 

Key Responsibilities

Process Development and Optimization:

  • Develop and implement office processes, including templates and presentation decks, to streamline operations.
  • Support the optimization of end-to-end project management in collaboration with Finance and Production teams.
  • Identify areas for operational efficiency and propose solutions to the Senior Leadership Team (SLT).
  • Serve as the Privacy Champion for the office, collaborating with IT and other departments to maintain compliance with privacy standards and security protocols.
  • Act as the G-Drive Champion, establishing protocols, managing SLAs, and ensuring security in partnership with organizational stakeholders.
  • Track licenses and ensure proper documentation is maintained.

Employee Support and Engagement:

  • Own the onboarding and offboarding processes for full-time employees (FTE), including developing and maintaining onboarding templates.
  • As needed, partner with the Resource Management team to support freelance talent building, invoice reviews and purchase order (PO) creation.
  • Plan and execute employee engagement activities, such as Summer Gatherings and Kick-Off events, including budget management and content coordination with the SLT.
  • Manage the semi-monthly West Coast office team meeting deck, coordinating topics and stakeholders.

Project and Stakeholder Management:

  • Enhance and maintain dashboards for key data reporting, presenting insights to relevant departments.
  • Support client tracking through Master Service Agreements (MSA).
  • Working relationship with all SLT members to support their initiatives but also ensure all issues are being resolved. 

Office Operations and Maintenance:

  • Partner with IPG Office Manager to oversee general office maintenance, including managing storage spaces and ensuring compliance with California health and safety standards.
  • Support meal planning and coordination for employees and visitors to the Jack Morton SF office space as needed.
  • Work with staff to ensure deliveries of show site supplies
  • Maintain storage space within the building.

Qualifications:

  • Proven experience in office management or similar operational roles.
  • 5–7 years of experience managing teams at various levels.
  • Strong organizational, multitasking, and time management abilities.
  • Excellent written and verbal communication skills, with the ability to collaborate effectively across departments.
  • Proficiency in office management tools, including Microsoft Office and Google Workspace.
  • Knowledge of budgeting, resource allocation, and financial processes.
  • A passion for fostering a positive workplace culture and promoting employee engagement.
  • Ability to work independently and take initiative while balancing multiple priorities.

 

Contract Start Date: Mid-January

Contract Duration: Through the end of 2026, possibility of extending

Hours: 32 hours per week to start, with the potential of transitioning to 40

Rate: $40.00 - $50.00/hour

Company laptop will be issued.
