We are seeking an experienced and detail-oriented Producer / Event Planner (corporate events) to join our team. This role focuses on providing best-in-class customer service for attendee logistics, ensuring a seamless and elevated experience for C-Suite executives and high-net-worth individuals. The ideal candidate will have a strong background in managing complex RSVP processes, travel logistics, and high-touch guest services with precision and professionalism. This role also requires preparing and delivering high-level reporting to top executives on a weekly basis. This role is embedded in our client’s organization, a financial services firm.

What you'll be doing:

Event Strategy & Execution

  • Lead the planning, coordination, and execution of high-profile, client-hosted events, ensuring seamless operations in a high-pressure environment.
  • Oversee all event elements, including venue selection, logistics, creative direction, vendor management, production execution, and post-event evaluations.
  • Develop and manage production timelines, run-of-show schedules, and contingency plans to ensure flawless event delivery.
  • Ensure all event components uphold the highest standard of execution, aligning with both the client’s and our agency’s brand and quality expectations.
  • Travel as needed for on-site event execution, offering hands-on leadership and problem-solving in fast-paced environments.

Client & Stakeholder Management

  • Serve as a point of contact between our agency and the client, acting as a trusted advisor and event execution expert against assigned projects.
  • Communicate effectively with client stakeholders, internal teams, and external vendors to ensure strategic alignment and a seamless planning process.
  • Provide regular status updates, offering clear insights into event progress, challenges, and solutions.
  • Work collaboratively with client leadership to understand their objectives, ensuring events are both strategically impactful and aligned with business goals.
  • Evaluate when additional agency support is required, acting as a liaison to bring in the necessary resources and expertise.

Luxury & White-Glove Event Execution

  • Manage ancillary event experiences such as executive dinners, private receptions, and bespoke hospitality engagements with exceptional attention to detail.
  • Ensure guest experiences are personalized, seamless, and reflective of a premium standard from arrival through departure.

Budget & Vendor Management

  • Oversee event budgets, ensuring cost-effective solutions while maintaining the highest quality standards.
  • Source, negotiate, and manage vendor contracts, including venue partners, catering, AV, decor, and transportation providers.
  • Partner with creative teams to design and implement brand-aligned event collateral, digital content, and immersive experiences.

Risk & Crisis Management

  • Anticipate potential risks and proactively develop contingency plans to address challenges that may arise before or during events.
  • Lead crisis management efforts on-site, ensuring quick decision-making and effective resolution of unexpected issues.

What you'll bring to Jack:

  • 6 plus years of experience in high-profile event production, preferably within financial services and preferably with conference and sports & entertainment hospitality experience.
  • Self starter who can work independently as event planning counterparts will not be in the same office. 
  • Exceptional verbal and written communication skills—must be clear, concise, and professional in all interactions.
  • Proven ability to manage complex travel logistics and high-profile guest services with attention to detail and discretion.
  • Strong organizational skills with the ability to manage multiple projects simultaneously and meet tight deadlines.
  • Experience working with C-Suite executives or high-net-worth individuals preferred.
  • Proven ability to develop and present high-level reporting to senior leadership.
  • Problem-solving mindset with the ability to remain calm under pressure.
  • Ability to work flexible hours, including evenings, weekends, as required.

Work Structure & Engagement

  • Embedded with the client in their Miami (preferably) or West Palm office a minimum of four days per week.
