EDE is seeking a Corporate Administrative Manager to join our growing team. The main responsibility of a Corporate Administrative Manager is to lead administrative functions for our corporate office and provide essential support across our company-wide operations.  This role is pivotal in maintaining operational efficiency, supporting various departments, and fostering a collaborative and organized work environment.  The position will be based in our Corporate Headquarters located in Houston, Texas.

Key Responsibilities

  • Corporate Office Management:
    • Manage the procurement and inventory of office furniture, equipment, supplies, ensuring all resources are adequately stocked.
    • Coordinate maintenance and repairs for office facilities, acting as the primary point of contact with external vendors.
    • Monitor and optimize office workflows to improve efficiency and organization.
    • Handle incoming and outgoing correspondence, including mail, email, and courier services.
    • Communicate office specific disruptions (e.g., building maintenance, fire alarms, holiday closures, disaster related incidents, etc.)
    • Manage the corporate office’s budget for administrative expenses, providing regular reports to senior management.
  • Company-Wide Administrative Support:
    • Develop and enforce standardized administrative policies and procedures across all locations.
    • Coordinate administrative functions such as employee onboarding, travel arrangements, and expense reporting for all offices.
    • Serve as the central point of contact for company-wide communication and administrative initiatives.
    • Track and maintain up to date company registrations/licenses.
    • Maintain company-wide calendars.
  • Event Coordination:
    • Plan and organize company-wide events, including annual meetings, training sessions, and employee engagement activities.
    • Assist with company marketing events like registering the company and/employees to attend trade shows and technical conferences.
    • Create and maintain project timelines, assigning responsibilities to team members and tracking progress.
    • Provide administrative support for large-scale projects, such as audits, system implementations, or office relocations.
    • Prepare detailed reports and presentations for senior management as required.
  • Compliance and Records Management:
    • Develop and maintain a comprehensive filing system for contracts, records, and other critical documents.
    • Conduct periodic audits of administrative records to ensure accuracy and compliance with regulations.
    • Implement policies for data privacy and ensure the secure handling of sensitive information.
    • Stay informed about regulatory changes affecting administrative practices and adjust procedures accordingly.
  • Employee Onboarding and Orientation:
    • Following receipt of new hire information from Recruiting Coordinator, handle onboarding and orientation for new employees
    • Ensure new employee setup in company ERP and with PEO.
    • Maintain and update physical employee records.
    • Track employee PTO.
    • Order employee business cards.
  • Corporate IT Support:
    • Obtain and maintain records of IT peripherals (e.g., docking stations, keyboards, mouse, monitors, headsets, etc.).
    • Coordinate with 3rd party IT services provider to ensure laptops and tablets are ordered and deployed as needed.
  • Project Support:
    • As requested, provide support to project team members with project related tasks (e.g., data entry, newspaper publishing, meeting coordination, etc.)

Requirements

  • Minimum of 8 years of experience in administrative management, preferably in a corporate or multi-office setting.
  • Proven leadership skills with experience supervising administrative staff.
  • Exceptional organizational and time-management skills.
  • Proficiency in Microsoft Office Suite and familiarity with administrative management software.
  • Strong interpersonal and communication skills with the ability to collaborate across all levels of the organization.
  • Familiar working with Adobe Acrobat.
  • Work well under pressure, must be able to adhere to strict deadlines.

Desired Qualifications

  • Associate degree or equivalent experience in a relevant discipline (Business Administration, Management, or related field.
