Your role
Lipton Teas and Infusions is seeking an experienced and highly organized Executive Assistant to provide support to the President of North America as well as the broader leadership team. This role is pivotal in ensuring the smooth operation of the executive office, managing critical tasks, and acting as a liaison across departments and with key stakeholders. If you’re a proactive, detail-oriented professional with strong organizational skills, this position offers an exciting opportunity to work closely with leadership and make a meaningful impact.
Key Responsibilities:
- Provide high-level administrative support to the North American leadership team, including calendar management, meeting coordination, and travel arrangements.
- Act as the primary point of contact for the executive office, managing communication, prioritizing requests, and ensuring follow-up on key initiatives.
- Prepare and organize materials for meetings, presentations, and reports, ensuring all required documents are readily available and accurate.
- Coordinate domestic and international travel logistics, including flight bookings, hotel accommodations, ground transportation, and preparation of detailed itineraries.
- Manage and submit expense reports in line with company policies and maintain records of expenses.
- Organize and coordinate executive meetings, town halls, and other corporate events, managing logistics to ensure seamless execution.
- Maintain the confidentiality of sensitive information and handle all matters with discretion and professionalism.
- Assist with special projects as needed, supporting cross-functional initiatives and contributing to overall team goals.
Skills and Experience:
- 6+ years of administrative experience supporting executive managers
- Exceptional organizational and time management skills, with the ability to prioritize tasks effectively.
- Strong written and verbal communication skills, with an emphasis on professionalism and clarity.
- Proven ability to handle sensitive and confidential information with integrity and discretion.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office productivity tools; experience with SAP and expense management software is a plus.
- Ability to work independently while also being a team player, demonstrating initiative, adaptability, and a collaborative approach.
- High attention to detail and problem-solving skills, with a proactive attitude toward addressing challenges.
