Cayuse’s Director of Professional Services PMO is a customer-facing role that oversees the Project Management Office (PMO) team with a primary focus on direct interaction with clients, ensuring project delivery aligns with their needs, managing expectations and risk, and actively collaborating to achieve successful outcomes throughout the project lifecycle. Responsibilities include establishing PMO processes, standards, and communication strategies that prioritize customer satisfaction and profitability,  building strong relationships for lifecycle adoption.

 

Responsibilities

Client Relationship Management:

  • Build and maintain strong relationships with key client stakeholders, understanding their business objectives and priorities. 
  • Proactively communicate project progress, risks, and potential issues to clients, providing timely updates and addressing concerns. 
  • Conduct regular client meetings to ensure alignment on project goals and deliverables. 

Project Management Oversight:

  • Lead the PMO team in managing project execution, ensuring adherence to established methodologies, timelines, and budgets. 
  • Monitor project performance through key metrics, identifying areas for improvement and implementing corrective actions.
  • Facilitate project planning, risk management, and change control processes with a focus on customer impact. 

PMO Development and Implementation:

  • Design and implement customer-centric PMO processes, including standardized reporting, communication channels, and project governance frameworks. 
  • Develop and maintain project management tools and templates to streamline client engagement and project delivery. 
  • Ensure the PMO team is adequately trained on project management methodologies and client-specific requirements. 

Stakeholder Alignment:

  • Collaborate with internal teams (sales, development, operations) to ensure seamless project handoffs and customer satisfaction. 
  • Communicate project status and key decisions to relevant stakeholders within the organization, maintaining transparency. 

Business Development Support:

  • Participate in pre-sales activities, providing project scope definition and cost estimations to potential clients. 
  • Contribute to proposal development, highlighting the value proposition of the company's project management capabilities

Team Leadership

Qualifications

  • Master’s degree in Business Administration, or related field required.  
  • A minimum of 10 years of project management experience preferred.  Any combination of experience and education that demonstrates the ability to perform the responsibilities will be considered”.
  • PMP or PgMP highly desired.  
  • Expert‐level knowledge of project and change management, methodologies, techniques, processes (e.g., Project and Portfolio Management Methodology – PPM).
  • Flexible, adaptable and resourceful when managing changing timelines and multiple deliverables. 
  • Demonstrated leadership ability to establish and manage a high-performance team. 
  • Motivated to build relationships at executive levels with technology, solutions, customers and vendor groups.
  • Ability to influence without authority.  

 

Required Skills and Experience

  • Proven experience managing complex projects within a customer-facing environment. 
  • Demonstrable understanding of project management methodologies (Agile, Waterfall) and best practices.
  • Experience using  Project Services Automation (PSA) software, preferably Certinia, aka Financial Force.
  • Excellent communication and interpersonal skills, adept at building rapport with clients at all levels. 
  • Ability to prioritize and manage multiple projects simultaneously while maintaining high quality standards. 
  • Strong analytical skills to identify trends, assess risks, and make data-driven decisions. 
  • Experience in developing and implementing PMO frameworks, tools, and reporting mechanisms.
  • Budget, cost and profitability management skills.  Knowledge of resource management tools.
