A Senior Administrative Assistant position is available with the City of Fort Worth, Transportation and Public Works Department, Business Support Division. We are seeking a highly skilled and organized Human Resources Coordinator/Medical Records Custodian to provide high-level support in human resources, medical records, payroll, timekeeping, and administrative operations. The ideal candidate will have strong knowledge of HR and timekeeping processes, excellent organizational and communication skills, and the ability to manage confidential and complex matters while effectively balancing multiple priorities. This position requires a proactive, adaptable, and customer-focused professional who can work collaboratively with management and staff in a fast-paced environment with constantly changing priorities.

Minimum Qualifications:

  • Bachelor’s degree from an accredited college or university with major coursework in public administration, business administration, human resources, or a related field
  • Three (3) years of increasingly responsible administrative and fiscal management experience supporting developer funded infrastructure or capital project financial management
  • One (1) year in a supervisory or lead capacity

Preferred Qualifications:

  • Experience serving as an HRC/MRC Coordinator, including responsibility for filing and maintaining Workers’ Compensation claims and major medical documentation
  • Experience with recruitment, hiring coordination, payroll, and timekeeping processes
  • Experience with PeopleSoft HCM software or other ERP systems
  • Excellent interpersonal, verbal, written, time management/organizational skills
  • Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint, with extensive experience using Excel to create pivot tables, link data, organize information, and perform data analysis
  • Demonstrated knowledge of Lean principles and a strong commitment to providing exceptional customer service. Ability to adapt to changing priorities and effectively manage multiple assignments in a fast-paced environment

The Sr. Administrative Assistant’s job responsibilities include:

  • Supervise staff responsible for payroll and timekeeping, Workers’ Compensation, travel coordination and reimbursement, high-volume customer service, and other administrative functions
  • Serve as the primary payroll and timekeeping resource for a division, including processing employee time, identifying and resolving payroll errors, troubleshooting timekeeping issues, and responding to payroll-related questions
  • Serve as the Medical Records Coordinator by maintaining and processing medical documentation for divisional staff, including Workers’ Compensation claims, accident reports, FMLA documentation, and other medical-related records
  • Perform Human Resources functions, including processing personnel action requests, facilitating recruitment and hiring activities, maintaining employee records, and coordinating related personnel processes
  • Partner with management on recruitment, hiring, employee relations, performance management, disciplinary actions, and separation processes, while ensuring compliance with applicable policies and procedures
  • Utilize strong written and verbal communication skills to develop, interpret, and implement departmental programs, standards, policies, and procedures
  • Apply strong organizational and problem-solving skills to coordinate multiple priorities and ensure assignments are completed accurately and timely
  • Serve as a backup for various administrative and support functions during staff absences or as operational needs require

Depending on assignment, positions in this class typically require touching, talking, hearing, seeing, grasping, standing, walking and repetitive motions.

Physical Demand:

Sedentary Work – Depending on assignment, positions in this class typically exert up to 10 pounds of force occasionally, a negligible amount of force frequently, or constantly having to lift, carry, push, pull or otherwise move objects. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
