Job Summary:

The Promotions Manager is responsible for the operational execution and management of healthcare professional (HCP) promotional programs and initiatives. This role serves as the central coordinator for promotional activities, ensuring programs are executed efficiently, compliantly, and on schedule, while delivering a seamless experience for internal stakeholders and external partners.

Working cross-functionally with Marketing, Sales, Operations, Compliance, Vendors, and Practice Partners, the Promotions Manager will oversee program implementation, manage timelines and deliverables, monitor performance metrics, and drive continuous process improvements. This role plans a critical part in scaling promotional efforts and ensuring operational excellence across the HCP Loyalty and Promotions portfolio.

Responsibilities/Essential Duties:

  • Promotional Program Management:
    • Lead day-to-day execution of HCP promotional initiatives from launch through completion.
    • Develop and maintain project plans, timelines, and implementation schedules for promotional campaigns.
    • Coordinate cross-functional activities to ensure successful program execution and delivery.
    • Monitor program milestones, risks, and dependencies, proactively identifying and resolving issues.
    • Ensure promotional programs align with established business objectives, operational requirements, and compliance standards.
  • Operational Execution & Coordination:
    • Serve as the primary operational point of contact for promotional activities.
    • Manage workflows, documentation, approvals, and communication related to active programs.
    • Coordinate with internal stakeholders and external vendors to ensure timely delivery of program components.
    • Maintain promotional calendars, implementation schedules, and operational trackers.
    • Support launch readiness activities and ongoing program administration.
  • Vendor & Partner Management:
    • Coordinate with external vendors and agency partners, supporting promotional programs.
    • Track vendor deliverables, timelines, and service-level expectations.
    • Facilitate communication between internal teams and external partners to ensure executional alignment.
    • Assist in managing program budgets, invoices, and financial tracking activities.
  • Reporting & Performance Management:
    • Track program performance metrics and operational KPIs.
    • Develop recurring reports, dashboards, and executive summaries.
    • Analyze promotional program results and identify opportunities for optimization.
    • Maintain accurate records and documentation to support business reporting and compliance requirements.
  • Process Improvement & Governance:
    • Identify opportunities to improve operational efficiency, scalability, and stakeholder experience.
    • Develop and maintain standard operating procedures (SOPs), workflows, and program documentation.
    • Ensure promotional activities adhere to applicable company policies, compliance requirements, and industry regulations.
    • Support audits, reviews, and documentation requests as needed.


Basic Qualifications: 

  • Bachelor’s degree & 5+ years’ directly related experience.


Preferred Qualifications:

  • Bachelor’s degree in Business, Marketing, healthcare Administration, Communications, or a related field.
  • 5+ years’ experience in program management, promotions, marketing operations, sales operations, loyalty programs, or related functions.
  • Demonstrated experience managing complex projects involving multiple stakeholders.
  • Strong organizational and project management skills with exceptional attention to detail.
  • Experience coordinating cross-functional initiatives and managing competing priorities.
  • Proficiency with project management, reporting, and Microsoft Office tools.
  • Strong analytical, communication, and problem-solving skills.
  • Experience supporting healthcare, pharmaceutical, medical device, or healthcare services organizations.
  • Experience managing customer loyalty, engagement, promotional, or incentive programs.
  • Familiarity with vendor management and contract coordination.
  • Experience with CRM marketing automation or customer engagement platforms.
  • Knowledge of compliance considerations related to HCP engagement programs.
