Executive Project Coordinator
Job Overview:
The Executive Projects Coordinator provides project coordination and operational support to the Office of the CEO. Reporting to the Executive Assistant to the CEO, this role supports the planning, coordination, and execution of strategic initiatives by maintaining project plans, tracking deliverables, coordinating meetings, and ensuring projects remain on schedule.
This role is ideal for an organized, detail-oriented professional who enjoys managing multiple priorities, working across departments, and supporting executive-level initiatives through strong project coordination and execution.
Key Responsibilities:
Project Coordination
- Support the planning and execution of strategic projects and cross-functional initiatives led by the CEO.
- Assist in developing and maintaining project plans, timelines, milestones, and action logs.
- Track project deliverables, monitor deadlines, and follow up with stakeholders to ensure timely completion.
- Maintain project dashboards, documentation, and tracking tools to provide visibility into project status.
- Identify potential scheduling conflicts, project risks, or delays and escalate concerns appropriately.
- Support multiple projects simultaneously while ensuring priorities remain aligned.
Executive Support
- Coordinate meetings related to strategic initiatives, including scheduling, agenda preparation, note-taking, and action item tracking.
- Prepare executive-ready PowerPoint presentations and meeting materials using existing information and project updates.
- Conduct research and compile data to support executive decision-making and project planning.
- Organize files, project documentation, and supporting materials for ongoing initiatives.
- Handle confidential business information with professionalism and discretion.
- Cross-Functional Coordination
- Partner with leaders across the organization to gather project updates and monitor progress.
- Coordinate follow-up activities and ensure accountability for assigned action items.
- Assist with special projects and operational initiatives as assigned by the CEO or Executive Assistant.
Required Qualifications
Education
- Bachelor's degree in Business Administration, Project Management, Operations, or a related field
Experience
- 1–3 years of experience in project coordination, business operations, executive support, program coordination, or a related role
- Experience coordinating multiple projects and priorities in a fast-paced environment preferred
Technical Skills:
- Advanced proficiency in Microsoft PowerPoint with the ability to create polished executive presentations.
- Strong working knowledge of Microsoft Excel, Word, and Outlook.
- Experience with project management platforms such as Asana, Monday.com, Smartsheet, Jira, or Microsoft Project preferred.
- Familiarity with email marketing platforms and content management tools preferred
- Experience with Canva or similar design tools preferred
- Strong Excel skills and comfort creating reports and tracking tools

- Highly organized with exceptional attention to detail
- Strong written and verbal communication skills
- Ability to manage multiple priorities and deadlines simultaneously
