What You'll Do:

We’re looking for an organized, compassionate, bilingual Medical Appointment Coordinator to own one critical step in our clients’ journey: getting them scheduled for, and to, their telemedicine visit and MRI. You’ll sit between our Client Representative and Case Manager teams, making sure each client gets connected to these appointments quickly and shows up prepared. Once those appointments are complete, you hand the client off and move on to the next.

This is a scheduling and follow-through role. You will not provide medical advice or be involved in any other treatment.

This is a 100% remote contractor position. Personal computer equipment is required and will not be provided. This position could become full time with benefits in the future.

Specifically, You Will:

  • Contact assigned clients by phone, text, and email, in English and Spanish, to schedule telemedicine visits and MRI appointments
  • Coordinate with providers and imaging facilities to find openings that work for the client
  • Send appointment reminders and check in with clients on the day of their appointments
  • Follow up on missed or canceled appointments and reschedule promptly
  • Confirm appointments were completed and document outcomes in our case management system (FileVine)
  • Communicate status updates and hand-offs to the Client Representative and Case Management teams
  • Keep clear, accurate, timely notes on every client interaction
  • Handle sensitive conversations with patience and empathy, since many clients are recovering from injuries and under stress

What You Need:

  • Fluent or native proficiency in both English and Spanish (spoken and written) required
  • 1+ years of experience in the medical field required. This could be scheduling, patient access, call center, or customer service work
  • Strong phone presence: warm, patient, and professional with anxious or frustrated callers
  • Excellent organization and follow-up; you close loops and don’t let appointments fall through the cracks
  • Comfort learning new software and managing a high volume of scheduling tasks
  • Ability to protect confidential client and health information
  • High school diploma or equivalent

Nice to Have:

  • Experience scheduling imaging or radiology appointments
  • Familiarity with medical terminology or telehealth platforms
  • Experience in a law firm, personal injury, or insurance setting
  • Prior EHR or case management system experience

What You Get:

  • A Great Role: Remote, contract position with opportunities to grow and contribute to impactful cases.
  • A Supportive Environment: Join a team that values collaboration, innovation, and your professional development.
