YOUR MISSION

We are looking for an early-career workplace professional to be the hands-on engine behind our site's day-to-day operations. Reporting to the Head of Non-Production Operations to start and day-to-day supporting the Workplace Experience Lead at your site, you will keep the workplace running smoothly — from setting up an all-hands or customer visit, to coordinating the janitorial, culinary, and landscaping vendors, to getting a minor leak under control (or knowing exactly who to call to fix it). You are the person employees turn to when something needs doing, and you make it look easy. You're resourceful, calm under pressure, and genuinely enjoy taking care of people. You'll learn the full breadth of workplace operations in a high-growth, mission-driven environment, with a clear path to grow into a Workplace Experience Lead role.

RESPONSIBILITIES

Support the site Workplace Experience Lead (day-to-day direction) in delivering a high-quality, reliable employee experience across the site, including:

  • Serve as the first point of contact for workplace requests, triaging and resolving issues through our ticketing system and escalating appropriately.
  • Handle minor day-to-day facilities issues — such as small leaks, burnt-out lighting, jammed doors, and clogged fixtures — and maintain a current, accessible list of vendor, landlord, and emergency contacts to get the right help on site quickly.
  • Coordinate with landlord property management and building engineers on repairs and maintenance, following up until issues are closed.
  • Support day-to-day coordination of third-party vendors, including janitorial, culinary and snacks, groundskeeping, security, and pest control; monitor service quality, log issues, and verify work is completed to standard.
  • Plan, set up, and break down workplace and company events, including all-hands meetings, team lunches, customer and executive visits, and onboarding sessions.
  • Manage conference rooms, AV readiness, and common areas so they are clean, stocked, and ready to use.
  • Order and stock supplies, snacks, beverages, and office equipment; track inventory and flag budget variances to the Lead.
  • Process vendor invoices, purchase requests, and PO paperwork accurately and on time.
  • Assist with badge and access requests, visitor management, mail and package handling, and new-hire desk and equipment setup in partnership with IT and Security.
  • Support safety and compliance efforts, including emergency drills, evacuation wardens, first aid and AED checks, and basic incident reporting.
  • Help maintain space and move data, including desk assignments, seating charts, and basic floor plan updates.
  • Document processes and contribute to scalable standards as we open new sites; occasionally support production areas as needed.

QUALIFICATIONS

  • 1–3 years of experience in office administration, facilities, hospitality, events, or a similar service-oriented role.
  • Demonstrated ability to manage multiple priorities, work independently, and follow through on details.
  • Comfort coordinating with outside vendors and contractors and communicating clearly and professionally.
  • Practical, hands-on problem-solving skills and the willingness to be on your feet — including setting up rooms, moving furniture, and lifting up to 40 pounds.
  • Strong written and verbal communication skills and a service-first mindset.
  • Proficiency with Google Workspace or Microsoft Office; ability to quickly learn ticketing, procurement, and badge systems.

PREFERRED SKILLS AND EXPERIENCE

  • Experience in events or hospitality, including set-up logistics and catering coordination.
  • Familiarity with basic building systems (HVAC, plumbing, electrical) or prior exposure to facilities maintenance.
  • Experience supporting secure environments or working in a technical, manufacturing, or aerospace and defense setting.
  • Experience with CAFM or ticketing platforms (e.g., ServiceNow, Jira, Fixit, or similar).
  • Bachelor's degree or equivalent experience.

COMPENSATION

  • Base Salary:  $65,000 - $90,000
  • Equity + Benefits including Health, Dental, Vision, HRA/HSA options, PTO and paid holidays, 401K, Parental Leave
