Transaction Coordinator

Illinois; Minnesota; Wisconsin

At Compass, our mission is to help everyone find their place in the world. Founded in 2012, we’re revolutionizing the real estate industry with our end-to-end platform that empowers residential real estate agents to deliver exceptional service to seller and buyer clients.

*This position is required to work out of a Compass office one day every other week: preferably Lincoln Park, IL, or any MN or WI office*

The Transaction Coordinator role involves collaborating within our team to manage all compliance and administrative aspects of the listings, transaction, and commission process. Daily interaction with Agents is a key part of this crucial operational role.

The support our Transaction Coordinators provide allows our Agents to focus on building client relationships and developing their businesses. Our team provides comprehensive support and acts as the central point of contact for all relevant stakeholders, ensuring a smooth closing process. From document preparation and deadline tracking to regular updates for all parties to a transaction and submitting deals for payout, your goal is to facilitate the process for Agents and clients at every stage. You will also collaborate closely with local lenders, attorneys, and title companies, utilizing your extensive experience and strong industry contacts for each contract you process.

Compass values in-person connection. While this department currently operates under a hybrid attendance policy, we ask employees to prioritize visiting local offices where they can connect with colleagues and customers in person more regularly. You will be expected to comply with your department's schedule, as outlined by your hiring manager. Please note that the department's current policy is subject to change.

At Compass, You Will:

  • Handle document tracking for a large volume of real estate transactions from listing to close, and/or contract to close, ensuring compliance with brokerage and legal requirements
  • Ensure real estate contracts are processed properly and promptly, with a focus on the details
  • Manage and track contract deadlines to ensure all timelines are met
  • Navigate company systems to validate accuracy of compliance and commission records
  • Provide support to Agents in response to inquiries regarding commission payouts, deductions, and commission calculations
  • Collaborate with sales managers and other support teams to offer outstanding support to the agents

What We Are Looking For:

  • 2+ years of experience in a real estate transaction-processing function, coordination, accounting, or payroll function preferred
  • Familiarity with standard real estate forms
  • Strong written, quantitative, verbal, and presentation skills
  • Ability to digest detailed contracts and make informed decisions based on content
  • Ability to maintain strict confidentiality of agents' contract data
  • Work independently and collaboratively in a team environment
  • Customer service-oriented personality
  • Impeccable attention to detail and problem-solving skills
  • B.A. or B.S. degree preferred

Compensation: The base pay range for this position is $31.25 - $33.00/hr; however, base pay offered may vary depending on job-related knowledge, skills, and experience. Bonuses and restricted stock units may be provided as part of the compensation package, in addition to a full range of benefits. Base pay is based on market location. Minimum wage for the position will always be met.

Participation in our incentive programs (which may include eligible cash, equity, or commissions). Plus paid vacation, holidays, sick time, parental leave, and recharge leave; medical, tele-health, dental and vision benefits; 401(k) plan; flexible spending accounts (FSAs); commuter program; life and disability insurance; Maven (a support system for new parents); Carrot (fertility benefits); UrbanSitter (caregiver referral network); Employee Assistance Program; and pet insurance.
