As our Office and Executive Support Manager, you will play a vital role by providing comprehensive support to our Chief Executive Officer, as well as the NYC office. You will work closely with our People Team.

You will report directly to the Chief Executive Officer and the Director of People.

To be successful in this role:

  • Provide comprehensive support to our leadership team by efficiently managing their calendars, scheduling meetings, and coordinating necessary arrangements.
  • Oversee and execute daily office management tasks, encompassing mail handling, state filings, phone communication, room reservations, email/fax correspondence, visitor reception, and addressing employee and facility-related requirements.
  • Monitor office supplies inventory, proactively organizing and restocking as needed, and placing orders to ensure seamless office operations.
  • Manage and organize expenses meticulously, including the diligent retention of receipts, invoices, records, and inventory documentation.
  • Assist in coordinating event logistics, ensuring successful planning and execution of various events.
  • Undertake additional administrative assignments as required to ensure the smooth functioning and maintenance of the office environment.

Qualifications

It is important to note that you will need the ability to work in a fast-paced environment, be flexible, creative, and be comfortable in knowing that we are constantly evolving.

  • High School Diploma or equivalent educational background. Bachelor’s degree in a relevant field preferred.
  • Minimum of 5-10 years of experience in a relevant field, demonstrating a solid foundation in the required skills and responsibilities.
  • Effective and efficient communication skills, both written and verbal.
  • Effective organizational and communication skills, with a proven track record of prioritizing tasks and successfully completing projects within given deadlines.
  • Demonstrated ability to work independently and manage tasks with minimal supervision.
  • Demonstrated ability to manage up.
  • Proficiency in multitasking and thriving in a brisk and active professional landscape.
  • Familiarity and comfort with macOS systems, GSuite, Slack, and 1Password.
  • Genuine passion for caregiving and alignment with the Wellthy mission.
  • A team-oriented mindset, showing willingness to collaborate and support fellow team members in various capacities.
  • Enthusiastic, positive, and can-do attitude, coupled with the capability to creatively solve challenges.
  • Prior experience in an administrative role, highlighting a background in autonomously managing executive administrative responsibilities effectively.
  • Proven ability to maintain an upbeat and constructive approach while assisting the team.
  • Eagerness to contribute beyond designated roles and responsibilities, embracing tasks of all scales to ensure team success.

Total Rewards Package

  • Salary Range: $85,000-$100,000 per year.
