POSITION OVERVIEW
The Behavioral Health Coordinator responsible for supporting the daily coordination and operations of the Behavioral Health team for our Sartell, Minnesota team. This individual will serve as a key point of contact for patients, providers, and internal teams while ensuring a seamless scheduling and patient experience for both in-clinic and telehealth appointments.
This role is highly patient-facing and ideal for someone who thrives in a fast-paced healthcare environment, enjoys problem solving, and has strong attention to detail. The ideal candidate will have previous healthcare scheduling experience, familiarity with Behavioral Health terminology and workflows, and the ability to work independently while delivering exceptional customer service.
WHAT YOU'LL DO:
As an Behavioral Health Coordinator at Zarminali you will focus on:
- Coordinate and manage scheduling for all Behavioral Health providers, including in-clinic and telehealth appointments
- Optimize provider schedules using web-based scheduling tools and scheduling protocols
- Manage provider schedule changes, including planned and unplanned PTO adjustments, and communicate appointment changes with patients
- Complete accurate patient registration, intake coordination, and scheduling follow-up activities
- Serve as a liaison between providers, patients, administration, and the Behavioral Health team
- Deliver exceptional customer service while helping patients navigate scheduling needs and finding appropriate solutions
- Audit appointments to ensure documentation, intakes, testing records, and patient information are complete and accurate
- Collaborate with providers to ensure Behavioral Health testing is properly scored and documented within the patient chart
- Support billing and claim processing activities related to Behavioral Health appointments
- Review and manage late-notice cancellations and no-show appointment workflows, including patient communication regarding fees or dismissals under provider direction
- Partner with the front office leadership team to review scheduling optimization reports and update provider protocols regularly
- Support a high-volume clinic environment serving approximately 100 patients per day
- Help support onboarding and training of future team members as the department grows
WHAT YOU NEED:
- High school diploma or equivalent required
- 3–5 years of healthcare or Behavioral Health office experience preferred
- Previous scheduling and patient access experience strongly preferred
- Familiarity with Behavioral Health terminology and workflows preferred
- Experience working with insurance verification, patient scheduling, and healthcare administration
- Exceptional communication, customer service, and phone skills
- Strong attention to detail and organizational skills
- Ability to work independently, problem solve, and remain resourceful in a fast-paced environment
- Reliable, team-oriented, and committed to providing an excellent patient experience
- Experience with Athena or other EMR systems preferred
- Ability to work full-time onsite Monday–Friday from 8:30 AM – 4:30 PM
