The Behavioral Health Coordinator / Medical Assistant plays a vital dual role in supporting both the clinical and operational success of Zarminali's Behavioral Health team in Sartell, Minnesota. This individual is responsible for coordinating the day-to-day scheduling and administrative operations of the Behavioral Health department while also providing hands-on clinical support to providers and patients during clinic operations.

Serving as a key point of contact for patients, providers, and internal teams, this role helps ensure a seamless patient experience from scheduling through treatment. In addition to managing provider schedules and patient coordination, the Behavioral Health Coordinator / Medical Assistant assists with patient rooming, clinical workflows, documentation, testing support, and other back-office responsibilities as needed.

WHAT YOU'LL DO

As a Behavioral Health Coordinator / Medical Assistant at Zarminali, you will:

Behavioral Health Coordination

  • Coordinate and manage scheduling for all Behavioral Health providers, including both in-clinic and telehealth appointments.
  • Optimize provider schedules utilizing scheduling protocols and web-based scheduling tools.
  • Manage provider schedule changes, including planned and unplanned PTO, and communicate appointment updates to patients.
  • Complete patient registration, intake coordination, referrals, and scheduling follow-up activities.
  • Serve as the primary liaison between patients, providers, administration, and the Behavioral Health team.
  • Deliver exceptional customer service while assisting patients with scheduling needs and identifying appropriate solutions.
  • Audit appointments to ensure documentation, intake paperwork, testing records, referrals, and patient information are complete and accurate.
  • Collaborate with providers to ensure Behavioral Health assessments and testing are appropriately documented and completed within the medical record.
  • Support billing, insurance verification, authorizations, and claim processing related to Behavioral Health services.
  • Manage no-show and late cancellation workflows, including patient outreach and documentation in accordance with clinic policies.
  • Partner with clinic leadership to optimize provider schedules, maintain scheduling protocols, and improve clinic efficiency.
  • Assist with onboarding and training future team members as the Behavioral Health program continues to grow.

Medical Assistant Responsibilities

  • Prepare patients for appointments by obtaining vital signs, medical histories, medication reconciliation, and reason for visit.
  • Escort patients to exam rooms while ensuring a welcoming, compassionate, and efficient experience.
  • Assist Behavioral Health providers during patient visits and support clinical workflows throughout the day.
  • Prepare examination and treatment rooms and maintain cleanliness and appropriate clinical supplies.
  • Perform point-of-care testing, specimen collection, and other clinical tasks within scope of practice.
  • Document clinical information accurately within the electronic medical record.
  • Coordinate laboratory orders, referrals, prescriptions, and follow-up care as directed by providers.
  • Respond to patient messages, refill requests, and clinical inquiries under provider guidance.
  • Assist with inventory management, stocking medical supplies, and maintaining clinical equipment.
  • Support front and back office operations as needed to ensure efficient clinic flow and an exceptional patient experience.

WHAT YOU NEED

  • High school diploma or equivalent required.
  • Medical Assistant diploma or certification preferred (or equivalent clinical experience where permitted).
  • 2–5 years of experience in a healthcare, pediatric, or Behavioral Health setting preferred.
  • Previous Medical Assistant experience strongly preferred.
  • Previous healthcare scheduling and patient access experience preferred.
  • Familiarity with Behavioral Health terminology, assessments, and clinical workflows preferred.
  • Experience with insurance verification, prior authorizations, patient scheduling, and healthcare administration.
  • Strong clinical documentation and EMR experience (Athena preferred).
  • Excellent communication, interpersonal, and customer service skills.
  • Exceptional organizational skills and attention to detail.
  • Ability to multitask, prioritize responsibilities, and work independently in a fast-paced environment.
  • Collaborative team player with a positive attitude and commitment to delivering an outstanding patient experience.
  • Current CPR/BLS certification preferred.
  • Ability to work full-time onsite Monday–Friday from 8:30 AM – 4:30 PM.
