Maintenance & Asset Coordinator

Specific Role:
We’re looking for a detail-oriented and dependable Maintenance & Asset Coordinator to join our team at EMIT Technologies. In this role, you’ll support the Facilities & Maintenance Manager by coordinating maintenance systems, asset tracking, compliance requirements, and supply chain activities. You’ll play a key role in maintaining accurate data, ensuring proper documentation, and supporting efficient execution of maintenance work to minimize downtime and control costs.
Key Accountabilities:
- Facilities & Maintenance Systems Coordination & Execution
- Maintain and update maintenance software, including scheduling, reporting, and tracking of maintenance activities
- Ensure all assets are properly set up with accurate records, identification, and lifecycle data
- Assist in scheduling preventive and corrective maintenance tasks and follow up to ensure timely completion
- Ensure all maintenance work orders are properly documented, including labor, parts, and total cost by asset
- Support tracking of total cost of ownership and maintenance spend across assets
Facilities & Maintenance Supply Chain & Vendor Coordination
- Coordinate ordering of maintenance parts and supplies for planned and unplanned work
- Schedule and coordinate contractors for specialized maintenance and repair services
- Organize, stock, and maintain critical spare parts inventory, ensuring high-risk components are readily available
- Track inventory levels and support replenishment of critical spares to prevent downtime
- Assist in monitoring contractor performance, lead times, and cost efficiency
- Support contractor grading based on cost, quality, responsiveness, and overall performance
Asset & Documentation Coordination
- Maintain complete and organized documentation for all assets, including parts, service, and operator manuals
- Ensure documentation is readily available within systems for technician use
- Support asset and vehicle tracking, including setup, identification, and status updates
- Assist with maintaining vehicle records such as registrations and insurance
DOT Compliance & Regulatory Support
- Assist in maintaining DOT compliance documentation, tracking, and reporting
- Ensure inspections, certifications, and required records are up to date
- Maintain organized and accessible records for audits and regulatory reviews
- Communicate potential compliance gaps to the Facilities & Maintenance Manager
Facilities & Maintenance KPI Tracking & Analysis
- Track and compile facilities and maintenance KPIs on a regular basis
- Analyze trends in downtime, asset performance, maintenance costs, and service frequency
- Support development of reports highlighting cost, reliability, and performance trends
- Assist in grading assets based on cost of ownership, downtime, and reliability
Administrative & System Support
- Ensure all maintenance activities are properly entered and closed out in the system
- Support continuous improvement of maintenance processes, workflows, and data accuracy
- Coordinate communication between maintenance, operations, and vendors as needed
- Assist the Facilities & Maintenance Manager with reporting, tracking, and special projects
Qualifications:
- Previous experience in maintenance coordination, asset management, or facilities support preferred
- Familiarity with maintenance management systems (CMMS) and inventory tracking tools
- Strong organizational skills and attention to detail
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment
- Basic understanding of maintenance operations, equipment lifecycle, and spare parts management
- Proficient in Microsoft Office or similar systems for tracking and reporting
- Strong communication skills and ability to work cross-functionally with teams and vendors
- Reliable, proactive, and committed to continuous improvement
Physical & Safety Requirements:
- Ability to lift up to 25–50 lbs. as needed
- Comfortable working in both office and shop/warehouse environments
- Always use applicable PPE when in designated areas
- Follow safety protocols when handling materials or interacting with equipment
