Office Administrator
Position Summary
Jan-Pro of Oklahoma City is seeking a highly organized and proactive Office Administrator to support daily operations, franchise development, and administrative processes. This role plays a key part in maintaining office efficiency, supporting franchise owners (CBOs), and assisting with sales and onboarding efforts. The ideal candidate is detail-oriented, bilingual in Spanish, and comfortable managing multiple priorities in a fast-paced environment.
Key Responsibilities
Administrative & Office Support
- Answer incoming calls and serve as the first point of contact for visitors and walk-ins
- Maintain a welcoming and professional office environment
- Order and manage office supplies and materials
Franchise & Operations Support
- Prepare Franchise Disclosure Documents (FDDs), training manuals, and presentation packets
- Assemble and coordinate starter kits for new franchisees
- Track and maintain training completion records for CBOs
- Create and issue ID badges for franchise owners and their employees
Sales & Presentation Coordination
- Schedule, confirm, and support sales presentations and appointments
- Conduct Spanish-language presentations and follow up with prospective franchisees through the sales process
- Assist in onboarding new accounts and managing transfers
Data Entry & Systems Management
- Enter invoices into Sage from vendors and internal sources
- Input evaluations and inspection data into internal systems (MV)
- Maintain accurate records across multiple platforms including MV, Zuper, Sage, and shared drives
- Scan and upload contracts, agreements, and related documentation
Procurement & Vendor Coordination
- Order supplies and materials from approved vendors (Anchor, Staples, Home Depot, Sundance, ProTeam, etc.)
- Ensure timely delivery of materials for office use, customers, and franchise owners
Communication & Team Coordination
- Update internal tracking boards and notify team members of new accounts, specials, and updates
- Maintain organized digital and physical filing systems
Qualifications
- Bilingual in English and Spanish (required)
- 1+ year(s) of administrative or office support experience
- Strong organizational and multitasking skills
- High attention to detail and accuracy
- Proficiency in Microsoft Office and comfort learning new systems (Sage, Zuper, etc.)
- Excellent communication and customer service skills
Preferred Skills
- Experience supporting sales teams or franchise operations
- Familiarity with CRM or operational systems
- Ability to work independently and manage competing priorities
