Position Summary

At JAN-PRO of Atlanta, we're looking for a highly organized, customer-focused Administrative Assistant to help keep our office running efficiently while supporting our operations across the Atlanta, Alabama, Oklahoma City, and Kansas City markets.

This role provides critical administrative support across multiple departments while helping ensure our office, customers, and Certified Business Owners (CBOs) receive exceptional service every day.


Core Responsibilities

As an Administrative Assistant, you will:

  • Serve as the first point of contact for customers, Certified Business Owners (CBOs), vendors, and visitors, creating a professional and welcoming experience.

  • Provide administrative support to multiple departments while helping coordinate day-to-day office operations across several markets.

  • Communicate confidently and professionally over the phone, through email, and in person with both internal and external partners.

  • Manage multiple priorities simultaneously while maintaining accuracy, organization, and attention to detail.

  • Maintain records, process documentation, and support operational workflows to ensure information remains accurate and up to date.

  • Utilize technology and business systems to manage data, prepare documents, and support daily operations.

  • Build positive working relationships through exceptional customer service, proactive communication, and strong follow-through.


Required Qualifications

  • High school diploma or equivalent required.

  • 2+ years of experience in an administrative assistant, office support, receptionist, customer service, or similar role.

  • Excellent verbal and written communication skills with a professional, friendly, and confident phone presence.

  • Comfortable answering a high volume of incoming phone calls and delivering exceptional customer service.

  • Strong organizational and time-management skills with the ability to prioritize multiple tasks throughout the day.

  • Ability to multitask in a fast-paced environment while maintaining a high level of accuracy and attention to detail.

  • Proficient with Microsoft Outlook, Word, Excel, and web-based business systems.

  • Strong data entry skills with a high level of accuracy.

  • Ability to learn new software and technology quickly.

  • Dependable, self-motivated, and able to work independently while collaborating with multiple teams.

  • Professional, customer-first attitude with strong follow-through and problem-solving skills.


Preferred Qualifications

  • Experience supporting multiple departments or locations.

  • Experience working in a service-based, franchise, facilities management, commercial cleaning, or other field service environment.

  • Experience with business software such as Sage, Zuper, MasterView, CRM, ERP, or similar systems.
