Billing Specialist I (Remote - US)

Remote - US

Interested in joining a growing company where you will work with talented colleagues, enhance a supportive and energetic culture, and be part of the climate solution? At Energy Solutions, we focus on the big impacts. And we believe that market-based programs can be a powerful force to deliver large-scale energy, carbon, and water-use savings. Since 1995, we’ve harnessed that power to offer proven, performance-based solutions for our utility, government, and institutional customers.

Are you a numbers-minded problem solver who loves keeping details organized and making sure everything adds up? We’re looking for a Billing Specialist I to join our Finance team and help keep client billing, revenue, and financial reporting accurate and on track.

In this role, you’ll prepare client invoices, process revenue entries, reconcile billing and revenue data, investigate discrepancies, and maintain accurate financial records. You’ll partner with project managers and Finance teammates to gather billing information, meet deadlines, and ensure invoices and supporting documentation are complete and accurate. You’ll also contribute to month-end and year-end closing, financial reporting, audit support, and ongoing improvements to billing processes.

We’re looking for someone who enjoys working with numbers, digging into details, and solving routine financial puzzles. You’ll thrive here if you’re organized, analytical, comfortable managing competing deadlines, and confident collaborating across teams while knowing when to escalate an issue. If you’re ready to put your attention to detail and financial skills to work in a collaborative environment, we’d love to hear from you.

Daily responsibilities include but are not limited to:

  • Execute recurring client billing and revenue-entry activities in the organization’s ERP or accounting system in accordance with established procedures, contract instructions, and project requirements.
  • Prepare client invoices, invoice breakdowns, cover letters, expense documentation, supporting reports, and related billing schedules.
  • Apply established billing requirements to time-and-materials, fixed-fee, milestone-based, Pay-for-Performance, and other assigned invoicing arrangements.
  • Analyze invoice and revenue data to identify routine variances, missing information, inconsistencies, or potential errors.
  • Prepare detailed revenue reconciliation worksheets comparing revenue recorded in the accounting system with invoices submitted to clients.
  • Research routine billing discrepancies and document findings, corrections, and outstanding items for review.
  • Prepare billing status updates and submit approved invoices in accordance with client submission requirements and established procedures.
  • Prepare routine and ad hoc financial reports to support project reporting, billing analysis, and Finance team needs.
  • Assist with journal entry preparation by gathering documentation, preparing supporting schedules, and routing entries for review and approval.
  • Execute assigned month-end and year-end billing activities, including preparation of reports, reconciliation schedules, and supporting documentation.
  • Update invoice records, notes, submission dates, revenue entries, and billing statuses in accounting systems, trackers, and designated repositories.
  • Escalate unclear contract terms, rate discrepancies, incomplete approvals, system issues, or other non-routine billing concerns to senior billing staff.
  • Prepare and update Billing revenue variance trackers, invoice breakdowns, and supporting analytical schedules.
  • Report unresolved variances or discrepancies that may affect billing accuracy, project budgets, revenue recognition, or financial close timelines.
  • Prepare invoice, revenue, reconciliation, and subcontractor documentation requested for internal or external audits.
  • Adhere to established accounting controls, billing procedures, documentation standards, and confidentiality requirements.

Minimum Qualifications:

  • A bachelor’s degree.
  • A minimum of 2 years of experience in billing, accounting, accounts receivable, financial administration, or a related area.
  • Working experience preparing invoices, posting revenue, or processing financial transactions in an accounting or ERP system.

  • Strong attention to detail and quality control when preparing invoices, reconciliations, and supporting documentation.
  • Strong written and verbal communication skills, including the ability to explain routine billing requirements and follow up on missing information.
  • Ability to execute assigned work independently, manage competing deadlines, and escalate issues that fall outside established guidance.
  • Ability to work effectively both independently and within a Finance or cross-functional project team.
  • Ability to maintain confidentiality and appropriately handle client, project, employee, and financial information.
  • Working experience with project-based billing or professional-services accounting.
  • Working experience preparing revenue reconciliations, invoice breakdowns, budget analyses, or variance reports.
  • Foundational to working experience reconciling invoice variances.

Why are you being asked to complete this form?

Completing this form is voluntary, and we hope that you will choose to do so. Your answer is confidential. No one who makes hiring decisions will see it. Your decision to complete the form and your answer will not harm you in any way. If you want to learn more about the law or this form, visit the U.S. Department of Labor’s Office of Federal Contract Compliance Programs (OFCCP) website at www.dol.gov/ofccp.
