About the Role

We're looking for an Events Specialist who can truly share a brain with us and act as our right hand to ensure all event logistics run seamlessly. If you're passionate about smooth operations and are a master of efficient execution, ready to hit the ground running, we want to hear from you!

Your Mission:
As part of the Engine team, you’ll play a vital role in an environment where innovation meets collaboration. Here’s what you’ll take charge of:

  • Logistical Support: Provide comprehensive administrative and logistical support for all event activities, ensuring smooth operations from start to finish.
  • Asana Master: Be our organizational ace! You'll create, update, and manage detailed project plans, task lists, and timelines within Asana, ensuring every team member knows their responsibilities and deadlines.
  • Vendor Coordination: Assist with vendor research, communication, and scheduling (e.g., catering, A/V, rentals), ensuring all arrangements are confirmed and details are shared.
  • Budget Tracking Support: Help monitor and track event expenses, ensuring adherence to budget guidelines and accurate record-keeping.
  • Materials & Supplies Management: Coordinate the ordering, inventory, and delivery of all event-related materials, supplies, and collateral.
  • Scheduling & Calendaring: Manage event calendars and scheduling for external and internal events, meetings, site visits, and key deadlines.
  • Communication & Documentation: Assist with preparing event-related communications, compiling reports, and maintaining organized documentation for all event files.
  • On-Site Assistance: Provide hands-on support during events, assisting with registration, setup, breakdown, and general attendee flow as needed.

What You’ll Bring to Engine:
We’re looking for someone who’s ready to make an impact and grow alongside us:

  • Solid Experience: 3-5 years of experience in an administrative support, coordination, or event role where you were responsible for detailed logistics.
  • Asana Expert: You're not just familiar with Asana; you know its ins and outs and can set up projects for maximum efficiency.
  • Unrivaled Attention to Detail: Your meticulous nature means nothing slips through the cracks. You're known for your precision and accuracy.
  • Highly Organized: Exceptional ability to manage multiple tasks, prioritize effectively, and maintain clear, well-structured workflows in a fast-paced environment.
  • Proactive Support: You anticipate needs and take initiative to assist before being asked, making you an invaluable team member. You know how to hit the ground running.
  • Strong Communication: Clear and concise written and verbal communication skills, able to convey information effectively.
  • Problem Solver: You approach challenges with a calm and practical mindset, always looking for efficient ways to keep things moving.
  • Adaptable: Comfortable working in a fast-paced environment and adjusting quickly to changing priorities.

Availability: Willingness to work occasional evenings or weekends for events as needed.

Compensation
Our compensation packages are based on several factors, including your experience, expertise, and location. In addition to a competitive base salary, total compensation may include equity and/or variable pay (OTE). Your recruiter will share your complete compensation package as you move through the process.

Base Pay Range

$60,000 - $80,000 USD
