Position Overview:

We are seeking a highly organized and detail-oriented Project Coordinator to join our team. The Project Coordinator will play a pivotal role in supporting the planning, execution, and delivery of software implementation and professional services projects, ensuring successful outcomes and customer satisfaction.

 

Responsibilities:

Project Planning

  • Assist in the development of project plans, timelines, and deliverables, ensuring alignment with client requirements and project objectives.

Resource Coordination

  • Coordinate project resources, including internal teams, external vendors, and client stakeholders, to ensure timely delivery of project milestones.

Communication Management

  • Facilitate communication among project stakeholders, providing regular updates, progress reports, and status meetings to ensure transparency and alignment.

Risk Management

  • Identify and assess project risks and issues, developing mitigation strategies and contingency plans to minimize project disruptions and delays.

Documentation Management

  • Maintain project documentation, including project charters, meeting minutes, action items, and project artifacts, ensuring accuracy and completeness.

Data Management & Entry

  • Efficiently perform data entry tasks, ensuring accuracy, consistency, and adherence to project and quality standards.

Quality Assurance

  • Monitor project deliverables and milestones to ensure compliance with quality standards and client expectations, conducting quality reviews and assessments as needed.

Change Management

  • Manage project changes and scope creep, assessing impacts on project timelines and resources, and communicating changes to stakeholders as appropriate.

Client Support

  • Provide client support as needed, including addressing inquiries, offering guidance, and helping manage expectations throughout the project lifecycle.

Lessons Learned

  • Conduct post-project reviews and lessons learned sessions to identify areas for improvement and best practices to be incorporated into future projects.

Administrative Support

  • Provide general administrative support to the project team, including scheduling meetings, maintaining project calendars, and handling project-related correspondence.

 

Qualifications:

  • Bachelor’s degree in Business Administration, Project Management, or a related field preferred
  • Proven experience in project coordination or project management roles, preferably in a software or technology-related industry.
  • Strong organizational and time management skills, with the ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines.
  • Excellent communication and interpersonal skills, with the ability to effectively communicate with internal teams, clients, and stakeholders.
  • Detail-oriented with a focus on accuracy and quality in all tasks.
  • Proficiency in Microsoft Office 365, especially Excel and Word (including advanced Excel functions).
  • Proficiency in project management tools and software, such as Microsoft Project, Asana, or Trello.
  • Familiarity with project management methodologies, such as Agile or Waterfall, is a plus.
  • PMP or CAPM certification is a plus.
