ABOUT THE POSITION

The Finance and Accounting Manager is responsible for managing the organization’s accounting and finance functions collaboratively with the Controller and Finance staff. This role directs the preparation of financial statements, oversees the general ledger, accounts payable, accounts receivable, reconciliations, and ensures compliance with accounting standards. Reporting to the Controller, the Finance and Accounting Manager provides financial guidance, partners with leadership on budgeting and forecasting, ensures compliance with grant and contract requirements, and supports organizational decision-making with financial analysis.

ROLES AND RESPONSIBILITIES

General Accounting and Finance

  • Manage the accounting and finance function, ensuring accuracy and integrity in all financial processes.
  • Prepare monthly balance sheets, income statements, cash flow statements, and other management reports.
  • Maintain and oversee the general ledger, ensuring accurate and timely reconciliations of accounts (A/R, A/P, prepaid expenses, grants, and contracts).
  • Manage accounts payable and receivable processes, ensuring timely payments and collections.
  • Review and complete reconciliations, journal entries, and month-end and year-end closings.
  • Oversee bank reconciliations, cash flow management, and other treasury functions.

Audit, Compliance, and Reporting

  • Provide financial data and support to external auditors; prepare audit schedules and ensure timely completion of annual audit requirements.
  • Ensure compliance with GAAP and regulatory filings, including annual tax filings, 1099/1096 forms, and grant/contract financial reporting.

Budgeting, Forecasting, and Financial Analysis

  • Supports Controller to develop and monitor budgets, forecasts, and long-term financial planning.
  • Maintain and improve accounting systems and processes; coordinate with software vendors and act as system administrator for finance platforms (e.g., Ramp).
  • Develop and update financial policies, procedures, and internal controls to strengthen organizational accountability.

Grants Compliance and Allocations

  • Oversee financial compliance with grant and contract requirements, ensuring accurate documentation and timely reporting.
  • Oversee the allocation of staff time to grants and contracts, collaborating with program and HR teams to support accurate billing and optimize restricted funding utilization.
  • Monitor and manage allocations to ensure expenses are charged correctly and in compliance with funder guidelines.
  • Provide training and support to staff on financial compliance, grant reporting, and allocation processes.
  • Collaborate with development and program teams to review grant proposals and budgets for financial accuracy and sustainability.

Stakeholder Relations

  • Build and maintain relationships with cross-functional teams, external vendors, and funding partners.
  • Effectively communicate financial information to non-financial stakeholders, ensuring transparency and understanding across the organization.

QUALIFICATIONS

  • Minimum of eight (8) years of progressive accounting experience.
  • Bachelor’s degree in accounting, finance, or related field required; CPA or Master’s degree preferred.
  • Strong knowledge of GAAP and nonprofit accounting standards.
  • Demonstrated expertise in financial reporting, budgeting, and forecasting.
  • Proven experience managing grants compliance, including allocations, personnel time tracking, and funder reporting requirements.
  • Strong proficiency with MS Excel and finance software such as Ramp, QuickBooks, Sage Intact, and Replicon.
  • Excellent problem-solving, analytical, and strategic thinking skills.
  • Strong communication and interpersonal skills, with the ability to present financial information to non-financial stakeholders.
  • Demonstrated ability to work effectively in a remote environment, maintaining productivity and accountability.
  • Strong organizational and time-management skills, with the ability to manage multiple priorities.
  • Ability to work during Eastern Time Zone work hours.

COMPENSATION AND BENEFITS

Salary is between $80,000 and $120,000, depending on experience. Benefits include employer-paid medical coverage for employees, optional dental and vision plans, life insurance, generous paid time off including vacation, sick leave, and holidays, plus access to supplemental benefits. This is remote, full-time role, based in the United States. Candidates should be able to work during Eastern Time Zone work hours.
