Development Project Coordinator

The Equipment Project Coordinator will report directly to the Director of Purchasing & Development and will serve as a project coordinator for all the projects requiring new equipment or equipment replacement. This position will play an important role in making sure that we execute each project as seamlessly as possible by organizing and planning equipment purchases, coordination of extraction and installation and keeping an open line of communication between each department involved.

Responsibilities:
- Project Evaluation: Survey site and evaluate whether the gym in review is due for a refresh or not. (Evaluation of equipment condition, space measurement, member demands, etc.)
- Equipment Purchasing: Assist with equipment ordering and bookkeeping for each project.
- Warehouse Inventory / Storage Containers: Collaborate with installer and ensure all the orders were received and documented accordingly. Work with local team if a storage unit is on site.
- Coordinate Internal Communication: Provide dates of closure, extraction and installation to all departments involved for each project to ensure everyone is aligned.
- Facilitate Extraction of Equipment (Traveling Required):
- Provide extraction dates for the extraction team
- Provide equipment extraction list
- Provide photos of equipment being extracted
- Provide building information (Address, doorway/walkway measurements, levels, rooms)
- Documentation of equipment being extracted and submission to VP of Development.
- Facilitate Installation of Equipment (Traveling Required):
- Provide equipment list to the installer
- Provide equipment delivery tracker
- Provide support during installation day
- Provide support with equipment placement (Ensure we meet ADA requirements and proper measurements)
- Ensure timely deliveries of all orders
- Ensure completion of each project and meets expectation.
- Documentation of all equipment being installed and items being sent back to the warehouse.
- Administrative Support:
- Provide administrative support as required
- Bookkeeping Project Orders
- Scheduling Extractions / Installations
- Support New and Upcoming Gyms Installations
Qualifications:
- Previous experience in equipment manufacturing, purchasing, or logistics
- Experience in the fitness industry
- Understanding of warehouse inventory and organization
- Knowledge of equipment extraction and installation
- Excellent communication skills
- Strong organizational and time‑management skills
- High attention to detail
- Ability to work independently and as part of a team
- Adaptability to process changes
- Flexible schedule: travel will be required
- Project coordination and scheduling experience
- Invoicing and order bookkeeping
- Basic proficiency in Microsoft Word, Excel, and Outlook
- Basic knowledge of Smartsheet
Requirements:
- Must successfully pass Background Check.
- Must be authorized to work in the U.S.
- Ability to access and operate Company computer systems including preparing documents, enter data into computer system, read reports from a computer database or email system.
Hourly Pay Range
$30 - $32 USD
