About the role

We're seeking a team-oriented, proactive Office Manager / Employee Experience Associate to join our growing organization. You will own the day-to-day operations of our San Francisco office and support and build the programs that make the employee experience a competitive advantage for Ethos, for teammates in the office and for those working remotely.

You'll partner with the People team to maintain the processes and programs that foster company culture and drive engagement, and with the Chief of Staff to support the executive team. Your days start with a fully stocked pantry and a clean, welcoming space. From there you'll work with the property manager, vendors, and employees on workplace needs, and move forward projects like office improvements, our swag store, and the company offsite calendar.

Duties and Responsibilities:

Office Operations

  • Own the day-to-day relationship with the property manager for our SF office
  • Oversee groceries, kitchen supplies, and catered meals throughout the week, maintaining a fully stocked pantry and a clean dining area
  • Receive, sort, and distribute incoming mail and deliveries, and process outgoing mail
  • Manage visitor access (e.g., badging) and provide a welcoming office environment
  • Set up and maintain conference rooms, supply storage, and other office resources
  • Purchase supplies, run office-related errands, and serve as point of contact for office equipment needs
  • Ensure new SF hires are set up in the office (desk, computer, key card access to the building and office suite, etc.)
  • Manage office improvements, including new furniture, painting, storage, and layout changes, from vendor selection through completion

Employee Experience and Culture

  • Be the culture champion for the San Francisco office
  • Help build and evolve a remote-first employee culture, creating ways for in-office and remote employees to connect and feel equally included
  • Own employee appreciation day and holiday gifting for the US, including planning, budgeting, vendor selection, and execution
  • Plan and manage internal events (trainings, business meetings, happy hours, holiday events, and team social events)
  • Own and build the Ethos swag store for employees and partners, including vendor relationships, product selection, inventory, and fulfillment

Offsites and Planning

  • Proactively build, manage, and schedule the company offsite calendar across teams (8-10 offsites per year), covering venues, logistics, vendors, and coordination with team leads

Executive and Cross-Functional Support

  • Support the executive team EA on larger projects and during busy periods
  • Support the Chief of Staff / VP of Communications on ad hoc projects, including employer branding
  • Build and maintain effective working relationships with the Executive team, IT, People, Finance, Legal, and external vendors
  • Perform administrative duties, maintain files, and organize documents as needed

Qualifications and Skills:

  • Passion for creating a welcoming, inclusive workplace for both in-office and remote employees
  • Experience planning and executing events, ideally multiple events at once
  • Strong project management skills, with the ability to manage timelines, budgets, and vendors across several projects
  • Expert communicator with an open mind and positive attitude
  • Highly organized multitasker who thrives in a fast-paced environment
  • Proactive, self-directed, and comfortable owning programs end to end
  • Prior experience in office management, workplace experience, customer service, or a related field
  • Passion for delivering a high level of customer service and confidence managing a range of stakeholders
  • Proficiency with Google Workspace (Docs, Sheets, Slides, etc.) and calendar scheduling, AI tools and creative tools including Canva
  • Willingness to learn and grow with the company
  • Able to come into our San Francisco office at least 3 days a week
