What Is This Job?  

As an integral member of the Advancement Department, the Operations Associate is responsible for the timely processing and acknowledgment of gifts, as well as administrative support in the areas of marketing, special events, and the general operations of the Advancement Department.

What You'll Do!

  • Process donations, pledges, payments, gift receipts, and donor acknowledgments accurately and on time.
  • Maintain and update donor records in Raiser’s Edge, including data cleanup, deduplication, NCOA updates, recurring gifts, and mailing lists.
  • Prepare daily gift reports and partner with Finance on monthly gift reconciliation.
  • Support donor stewardship, event registration, and attendee management.
  • Coordinate with vendors and manage marketing materials, promotional supplies, business cards, and Everstand’s online storefront.
  • Manage Purchase Orders and support departmental mailings, inventory, credit card reconciliation, and inter-campus deliveries.
  • Coordinate meeting and event logistics, including scheduling, room reservations, catering, technology, setup, and breakdown.
  • Provide administrative support to the Marketing and Development team, including meeting notes, follow-up tasks, and calendar management.
  • Handle confidential information with discretion, sound judgment, and minimal supervision.

Required Education and Experience  

  • Education & Experience: Bachelor’s degree + 1 year of relevant experience, associate’s degree + 3 years of relevant experience, or High school diploma + 5 years of relevant experience.
  • Preferred: 2+ years of nonprofit and/or customer service experience.
  • Experience with Raiser’s Edge NXT, including the Volunteer and Event Modules, is a plus.
  • Proficiency with Microsoft Office Suite, Zoom, and Microsoft Teams.
  • Experience with Asana or other project management software is a plus.
  • Strong organizational skills, attention to detail, and the ability to manage multiple priorities and deadlines.
