About the role

The Executive Assistant is pivotal in enabling the CEO to operate efficiently, effectively, and strategically by managing schedules, communications, and key administrative functions in a fast-paced and dynamic environment. As a trusted partner to the CEO, the Executive Assistant will play a critical role in ensuring smooth operations, anticipating needs, and providing high-level support across a variety of tasks and projects.

Main Responsibilities

Executive Support

  • Manage and prioritise the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
  • Act as the primary point of contact for internal and external communications on behalf of the CEO.
  • Prepare briefing materials, agendas, and reports for meetings, and support with follow-up actions.
  • Support the CEO with confidential matters, correspondence, and sensitive information.
  • May be responsible for providing leadership and strategic direction to the administrative team.

Operational Coordination

  • Liaise with senior leadership and board members to coordinate meetings, logistics, and documentation.
  • Support efficient running of board meetings and SLT offsites including coordination with Five Arrows
  • Assist in the preparation and distribution of meeting papers and ensure timely communication with board members and their assistants.
  • Track and manage deadlines, actions, and priorities across the CEO’s portfolio.

Administrative Excellence

  • Handle expense claims, invoices, and document filing with accuracy and confidentiality.
  • Arrange travel where necessary, organise restaurants and entertainment as needed
  • Maintain systems for document management, records, and key contacts.
  • Provide general administrative support, including minute-taking, drafting correspondence, and data entry.

Project Support

  • Assist with the coordination of strategic initiatives and ad hoc projects as delegated by the CEO.
  • Prepare presentations or summaries as required.

Essential Criteria

  • At least 3 years’ experience as an Executive Assistant or in a similar high-level administrative role
  • Excellent organisational and time-management skills, with the ability to multitask and meet tight deadlines.
  • Exceptional written and verbal communication skills.
  • Strong attention to detail and accuracy.
  • High level of proficiency with Microsoft Office and/or Google Suite and calendar management tools.
  • Strong interpersonal skills and ability to build effective working relationships at all levels.

Desirable Criteria

  • Experience supporting C-suite executives in a dynamic, fast-paced environment.
  • Event planning or project coordination experience.
