Job Overview: We are seeking a values-aligned, experienced Accounting Manager for our Brands segment with expertise in leading teams, actively managing inventory, working with third-party logistics (3PL), sales tax compliance, payroll reconciliation, and deferred revenue reconciliation. The ideal candidate will be responsible for coordinating our Brands segment’s accounting operations, ensuring the accuracy of financial records, reports, and compliance with relevant regulations. This role will play a key role in supporting day-to-day financial activities while optimizing accounting processes.
Key Responsibilities:
- Team Leadership:
- Manage and mentor a Senior Accountant I, providing guidance, support, and training.
- Collaborate with cross-functional teams, including HR and operations, to improve processes and ensure alignment on financial goals.
- Willingness to be a team player and support as needed, especially during month end and year end closes.
- Accounting Management:
- Coordinate accounting functions including general ledger, accounts payable/receivable, and financial reporting.
- Prepare accurate journal entries, ensuring proper categorization by department and class to facilitate accurate financial reporting and analysis, including intercompany journal entries.
- Ensure monthly, quarterly, and annual financial reports are accurate, timely, and in compliance with accounting standards.
- Review and approve reconciliations for accuracy.
- Analyze financial data, identifying trends and providing insights to inform decision-making and strategic planning.
- Inventory Management:
- Oversee the accounting of inventory and cost of goods sold, ensuring proper valuation, reconciliation and periodic audits.
- Manage and improve inventory processes, including inventory counts, reconciliations, and reporting to ensure compliance with accounting standards and company policies.
- Coordinate with operations teams to track inventory movement and identify and correct discrepancies.
- Implement and enforce internal controls related to inventory management.
3PL (Third-Party Logistics)
- Manage the accounting and financial process related to 3PL partnerships
- Reconcile inventory movements and shipments between the company’s systems and third-party providers.
- Analyze logistics and distribution costs, identifying opportunities for cost-savings.
- Sales Tax Compliance:
- Ensure accurate calculation, reporting, and filing of sales taxes in compliance with federal, state, and local regulations.
- Reconcile sales tax calculations between Shopify and sales tax portal to identify and correct discrepancies.
- Stay up to date on sales tax law changes and advise management on the impact of changes to business operations.
- Prepare and submit timely sales tax returns and manage audit preparation and responses.
- Payroll Reconciliation:
- Ensure accurate payroll reconciliations are performed, reviewing payroll records, tax filings, and benefits reporting.
- Coordinate with HR to resolve discrepancies in payroll.
Deferred Revenue Reconciliation
- Manage the recognition of deferred revenue, ensuring compliance with US GAAP.
- Reconcile and track deferred revenue accounts to ensure accurate financial statements.
- Prepare reports on the deferred revenue balances and provide insights to management.
- Internal Controls & Audits:
- Support the creation of and enforcement of internal controls for accounting operations, inventory, payroll, and sales tax processes.
- Assist with the preparation of financial audits and respond to auditor inquiries regarding inventory, payroll, revenue and sales tax matters.
- Process Improvement:
- Continuously identify opportunities for process improvements, cost-saving measures, and efficiencies in accounting operations, payroll processing, inventory control, and sales tax reporting.
Qualifications:
- Bachelor’s degree in Accounting, Finance, or related field (CPA or CMA preferred).
- Minimum of five years of experience in accounting with a focus on inventory management, payroll, and sales tax compliance.
- Strong understanding of US GAAP, inventory accounting, payroll systems, and sales tax regulations.
- Experience with accounting software (e.g., QuickBooks, Sage, NetSuite).
- Required proficiency in MS Excel and/or Google Sheets.
- Excellent attention to detail with the ability to manage multiple tasks and meet deadlines.
- Ability to work in a fast-paced organization with multiple entities and able to pivot from between tasks effortlessly.
- Strong communication and interpersonal skills, with the ability to collaborate with various departments and lead a team effectively.
Preferred Skills:
- Experience with inventory management systems and reporting tools.
- Knowledge of multi-state sales tax laws and filings.
- Familiarity with payroll software (e.g., ADP, Rippling, or similar).
Working Conditions:
- Full-time position, based in West Palm Beach, Florida (open to hybrid)
- Occasional nights or weekends during busy periods (e.g., quarter-end, year-end).
